Legal Administrative Assistant Job Description
The Legal Administrative Assistant will be responsible for executing daily tasks and various administrative duties that are involved in the completion of the files associated with personal injury cases. This role combines administrative support, file management, communication, and general understanding of basic accounting-related tasks. The role requires the files to be organized, accurate and progressing timely outcomes with every file. The Candidate must be comfortable with repetitive and process-oriented work, while maintaining attention to detail and professionalism within the team.
The ideal candidate enjoys structured workflows, works well with deadlines and is confident learning and using technology platforms such as Filevine and Quick Books. Success in this role comes from being dependable, efficient and proactive while working collaboratively within a team environment.
Job Requirements- Strong organizational and time management skills
- Comfortable working in high-volume, fast-paced environment
- Basic understanding of administrative and accounting-related tasks
- Experience with Quickbooks, Filevine, or similar software prefered
- Proficiency with technology, Microsoft office, and cloud-based systems
- Ability to manage repetitive and detail-oriented tasks efficiently and accurately
- Strong communication and follow-up skills
- Maintain a positive attitude with the ability to work within a team setting
- Ability to multitask and prioritize tasks
- High level of accountability and productivity
- Prior accounting degree is NOT required, though prior office and general administrative experience is a plus
- Assist with general administrative duties as it pertains to legal cases and/or the closing process of files for the firm
- Organize and maintain digital case files and documentation
- Enter and review information for accuracy within case management systems
- Assist with contacting vendors, and maintaining accurate 1099 general information
- Assist with settlement-related administrative tasks
- Support attorneys and staff with file updates and closing packets
- Communicate with both clients, medical providers and vendors as needed
- Perform light detail-oriented related functions as it relates to the closing process
- Process invoices and payment of invoices as directed with internal systems
- Maintain productivity standards and assist in workflow efficiency
- Complete routine administrative tasks with consistency and attention to detail
- Compile necessary documents and cross reference items prior to closings
- Work closely within a team environment, cross-train and fill in when others are absent
- Maintain a consistent schedule, on-site Monday through Friday 8:30 am until 5:30 pm

Candidates should be comfortable handling administrative responsibilities while learning the operational side of personal injury cases. Strong candidates will possess high productivity and follow through paying close attention to detail and have the ability to problem solve and take initiative.
