PURPOSE OF CLASSIFICATION
The purpose of this classification is to perform a range of administrative and customer service duties to support the operation of the Tax Assessor/Appraisal Office.
ESSENTIAL FUNCTIONSThe following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
Greets visitors, resolves complaints and problems, directs them to the appropriate person or department, answers the phones, and responds to general inquiries regarding tax assessment services and procedures.
Files documents, prepares reports, correspondence, letters, and other written materials, using word processing and spreadsheet software (Microsoft).
Prepares documents, records, work orders, invoices, and/or forms requiring knowledge of department operations and services; prepares operational and statistical reports; researches, compiles, consolidates, and/or tabulates information; and prepares correspondence and letters.
Prepares and maintains paperwork files and records; pulls files and documents upon request; researches files and records to retrieve information; photocopies documents and distributes and/or files; scans, uploads and saves documents, requests information from other departments as necessary to complete department records/files; and purges and/or shreds documents as directed.
Enters and updates information in databases, manages paperwork and files, and assists with record‑keeping.
Assists taxpayers with reporting forms, returns, and general questions regarding their assessments.
As requested, processes payments for fees or services, records receipts, and prepares deposits.
Collaborates with other staff on preparing the annual tax digest and assists the office with the appeals process.
Assists the public with property assessment information, including location and assessment of properties, and maintains property record card files.
Handles incoming and outgoing mail, orders office supplies, and operates general office equipment such as computers, printers, and fax machines.
Establishes and maintains information in automated files and databases including the deceased persons list; enters and updates data; maintains spreadsheets, listings, tracking data and other program and/or operational information; researches information in databases, spreadsheets and other automated files; and retrieves and reports data in requested formats.
May receive payments for fees or department services, records receipts, and prepares payments for deposit.
Operates a personal computer, telephones, copiers and other general office equipment as necessary to complete essential functions, including the use of word processing, spreadsheet, database, or other system software.
As requested, performs data entry and quality control of real estate data; enters data from tax returns; enters real property information.
Performs other related duties as required.
MINIMUM QUALIFICATIONSHigh school diploma or GED; supplemented by one year of previous experience in a clerical or customer service setting; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
