Job Summary
The Office Coordinator provides administrative and operational support for the Department of Artificial Intelligence and Health. This position is responsible for ensuring the efficient day-to-day functioning of the department through effective office management, coordination of activities, and support of faculty, staff, and leadership. The Office Coordinator manages a wide range of administrative functions and ensures compliance with institutional policies and procedures.
This role requires the ability to exercise independent judgment, initiative, and discretion while handling sensitive information and complex administrative matters in a fast-paced, interdisciplinary academic environment.
Responsibilities
The responsibilities include, but are not limited to:
Administrative Support and Office Operations
Coordinates and oversees daily administrative operations of the department to ensure efficiency and effectiveness.
Provides direct administrative support to department leadership and faculty, including managing calendars, scheduling meetings, and preparing correspondence.
Serves as the primary point of contact for the department, responding to inquiries and directing communications appropriately.
Maintains departmental files, records, and documentation in compliance with university and state guidelines.
Financial and Procurement Support
Initiates and processes purchasing requests, travel authorizations, reimbursements, and other financial transactions in accordance with institutional policies.
Coordinates with finance and procurement offices to ensure timely processing and compliance.
Personnel Support
Assists with onboarding and off-boarding processes for faculty, staff, and student employees.
Event and Program Coordination
Coordinates logistics for meetings, seminars, and departmental events, including scheduling, materials preparation, and communication with participants.
Provides support for faculty recruitment activities, including interview coordination and candidate visit logistics.
Compliance and Special Projects
Ensures adherence to university policies, procedures, and regulatory requirements.
Assists with preparation of reports, presentations, and data tracking.
Participates in special projects and performs other duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university with a minimum of six years of progressively responsible office support experience.
OR
High School Diploma or GED from a recognized State or Federal accrediting organization with a minimum of nine years of progressively responsible office support experience.

ABILITIES
Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions.
