We are seeking a highly organized and detail-oriented Operations Coordinator to join our growing team in Box Springs, Georgia. This position plays a critical role in supporting project administration, accounting functions, office operations, human resources, and marketing activities. The ideal candidate will be proactive, adaptable, and capable of managing multiple responsibilities while maintaining accuracy and professionalism.
Key ResponsibilitiesProject Administration
- Prepare quotes for builders and clients.
- Generate builder and client invoices.
- Build and maintain project files.
- Enter new jobs into the job progress tracking system.
- Gather and prepare project information in coordination with Client Relations team members.
- Prepare shipping tickets and shop orders after project approval.
- Coordinate job shipments and prepare Bills of Lading.
- Track labor hours and complete profitability reports upon project completion.
- Maintain inventory levels and records.
- Prepare purchase orders for materials and supplies.
- Record project information in Accounts Payable, Accounts Receivable, and Cash Flow systems.
- Assist the CEO with accounts payable and accounts receivable functions.
- Prepare and maintain daily, weekly, and monthly financial reports.
- Support cash flow management and reporting.
- Assist with payroll administration and annual payroll tax records.
- Prepare annual company tax documentation for the accountant in collaboration with the CEO.
- Maintain office and employee records as required.
- High School Diploma or GED.
- Proficiency in Quick Books (Preferred)
- Working knowledge of Microsoft Office 365.
- Strong organizational and time‑management skills.
- Excellent communication and customer service abilities.
- Ability to manage multiple priorities and meet deadlines.
- High level of accuracy and attention to detail.
