Responsible for front desk administrative support and general office duties at Reeves Construction Company.
Responsibilities- Greet and assist visitors, applicants, deliveries, salesmen, and customers at the front desk.
- Processing internal and external sales weekly
- Manage phone calls, directing inquiries, and messages as appropriate
- Book hotels for employees traveling on business as needed
- Set up iPhones and iPads for employee use
- Order and maintain inventory of employee uniforms
- Receive and distribute plant packages and mail
- Prepare and clean up for office events, including Family Fun Day, Customer Appreciation Day, Christmas Luncheon, etc
- Handle Fed Ex and certified mailings
- Manage and Distribute company tickets for events
- Call for repair, maintenance, and cleaning services for the office and ensure annual contract renewal
- Scan invoices to accounts payable mailbox
- File and purge records as needed
- Order, pick up, and stock office supplies as needed
- Process deposits as needed
- Collect and disperse lien waivers and payment documentation
- License renewals
- Other responsibilities as assigned
- Associate’s degree or currently pursuing a degree in Business Administration, Accounting, or a related field is preferred.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Strong interpersonal skills to interact with employees and clients.
- Previous experience in an administrative role is a plus.
- Basic knowledge of accounting principles is advantageous but not required.
- Must be reliable, punctual, and able to work independently.
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
- The employee is regularly required to sit, stand, walk, climb, balance, stoop, kneel and crawl.
- Must be able to speak and hear. Must be able to lift up to 40 pounds.
