Receptionist

Position Summary

The Receptionist serves as the welcoming face of the school, greeting and directing visitors with a friendly demeanor. This role is essential for responding to inquiries from staff and visitors, ensuring everyone receives the necessary information or is appropriately referred to other parties. The Receptionist plays a key role in facilitating a smooth and efficient flow of communication within the school environment.

  • Customer Service experience preferred
Knowledge, Skills, & Abilities

Required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies include operating standard office equipment and software applications, adhering to safety practices, screening telephone calls, and using general office software applications. Knowledge-based competencies cover basic math, reading manuals, presenting information, professional telephone etiquette, grammar and punctuation, keyboarding, knowledge of community resources, personnel administration practices, recordkeeping, and school safety and security practices.

Ability-based competencies include scheduling activities, gathering and collating data, working with a wide diversity of individuals, problem solving, communicating with diverse groups, maintaining confidentiality, meeting deadlines, setting priorities, working as part of a team, attending to accuracy and detail, and adapting to changing work priorities.

Essential Duties
  • Answers district office telephone system for the purpose of responding to inquiries, transferring calls, and/or taking messages.
  • Distributes items within the site (mail, special deliveries, packages, supplies, etc.) for the purpose of distributing materials to appropriate parties.
  • Greets individuals entering the building (visitors, parents, students, vendors, etc.) for the purpose of responding to inquiries and/or directing individuals to appropriate locations in accordance with established building security procedures.
  • Maintains reception area materials and files (newsletters, event calendars, etc.) for the purpose of providing resource information to visitors.
  • Maintains building information (use schedules, staff directories, emergency contacts, etc.) for the purpose of providing reference information.
  • Oversees the distribution of mail/packages to staff for the purpose of ensuring delivery to appropriate personnel.
  • Performs general clerical functions (scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.
  • Responds to emergency calls for the purpose of notifying appropriate parties to address immediate safety and/or security issues.
  • Allocates charges for mail and other similar expenses to applicable departments.
  • Enters maintenance requests for Board Office building.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Physical Abilities And Working Conditions

Generally the job requires 90% sitting, 5% walking, and 5% standing. The description of vision, hearing, speech, and upper body mobility is available upon request. The employee will need to lift some items occasionally.
