Provide administrative support to department physicians, APPs, and fellows; manage physician on-call calendar; coordinate calendars/schedules; ensure completion of required paperwork; participate in meetings; maintain purchasing knowledge; anticipate needs; perform additional administrative duties as needed.
Responsibilities Administrative Support- Provide administrative support to department physicians, APPs, and fellows.
- Manage observerships and physician on-call calendar.
- Coordinate meetings and gather travel information.
- Track leave and clinic cancellations; submit required forms.
- Participate in department meetings; scribe for meetings if needed.
- Maintain knowledge of purchasing rules and processes.
- Anticipate needs and perform additional administrative duties.
- Answer all incoming phone calls; relay messages to providers.
- Route callers to appropriate areas.
- Coordinate patient appointment times with scheduling.
- Contact patients and referring physician offices with test results and visit notes.
- Assist with patient paperwork for FMLA, return to work, disability, etc.
- Confirm appointments and notify patients of required paperwork or testing.
- Manage patient scheduling loops and clinic schedules.
- Assist with preparation of patient letters and ensure all paperwork is returned.
- Provide backup administrative support for other office admin as requested.
- Other duties as assigned.
- Associate's degree from an accredited college or university in a related field; OR
- High School Diploma/GED with minimum three years of progressively responsible office support experience.
- Ability to maintain confidentiality.
- Detail-oriented.
- Excellent interpersonal, verbal, and written communication skills.
- Proficient in Microsoft Office and other computer software/databases.
- Shift: Days M–F.
- Pay Band: B3.
- Salary: $16.54 – $19.86 hourly (commensurate with qualifications within range).
