CLASSIFICATION
TITLE:
PROBATE COURT CLERK PURPOSE OF CLASSIFICATION
The purpose of this classification is to provide clerical support to the Probate Court department. This work involves assisting the general public in person and over the phone; docketing, indexing, and recording court case information; providing copies of official court and/or legal documents to the public; and/or receiving and processing applications for department administered programs.
ESSENTIAL FUNCTIONS- Answer department telephones; greet customers and visitors; communicate with the general public, attorneys, court personnel, and county and local officials; provide assistance, copies of requested documents and information regarding department services and procedures; refer callers to other staff members as appropriate; and take messages.
- Accept payments, applications, records, etc. from customers; record receipt of same; and prepare for processing.
- Receive, review, prepare and/or process department documents such as records of court cases, dockets and indexes, and case files; receive and process applications for programs administered by the department including marriage licenses, pistol permits, temporary guardianship of minors, etc.; issue legal documents including birth certificates, subpoenas, etc.; verify, complete and/or code required information; enter information into department databases; update database information;
create new spreadsheets/files; and purge old data as appropriate. - Make copies and distribute as appropriate; maintain copies in department manual files; type letters, reports, summaries and correspondence.
- Prepare folders; maintain files of department correspondence, program records, legal documents, etc.; photocopy documents and distribute and/or file; and request information from other departments as necessary to complete department records/files.
- Receive, date and distribute incoming mail; prepare outgoing mail.
- Perform other related duties as required.
High school diploma or GED supplemented by five (5) months of clerical and/or customer service experience; proficiency in Word Perfect preferred; experience with Georgia Crime Information Center (GCIC) and Terminal Agency Coordinator (TAC) preferred; or any equivalent combination of education, training, and experience that provides the requisite knowledge, skills, and abilities for this job.
TYPING SPEED: 40 WPM REQUIRED (If requested by the department, a typing test will be administered at a later date. Application will be reviewed and sent to the department if all other minimum qualifications are met.)
ADA COMPLIANCEPhysical Ability:
Tasks require the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
Sensory Requirements:
Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors:
Essential functions are regularly performed without exposure to adverse environmental conditions.
