Job Summary

Provide administrative support to department physicians, APPs, and fellows; manage physician on-call calendar; manage calendars/schedules; ensure completion of all department, university and medical center required paperwork; participate in meetings as needed; maintain knowledge of purchasing rules and processes; anticipate needs based on job experience and familiarity with team; perform any other administrative duties as needed.

Responsibilities
  • Administrative Support

    Provide administrative support to department physicians, APPs, and fellows; manage observerships; manage physician on-call calendar; manage calendars/schedules; coordinate meetings; gather travel information and share with Admin Asst 2; follow up to ensure travel paperwork is completed; work with faculty and APPs to track leave and clinic cancellations to complete and submit required forms; ensure completion of all department, university and medical center required paperwork;

    participate in department meetings; scribe for meetings if needed; maintain knowledge of purchasing rules and processes; anticipate needs based on job experience and familiarity with team; perform any other administrative duties as needed.

  • Answering Phones

    Answer all incoming phone calls; relay messages to providers; route callers to appropriate areas (patient service center, radiology, etc.).

  • Patient Appointments

    Coordinate patient appointment times with scheduling; contact patients and referring physician offices with test results, visit notes; assist with patient paperwork for FMLA, return to work, disability, etc.; call all patients before clinic visits to confirm appointments and remind them of needed paperwork or pre-visit testing; close all loops in the patient scheduling process; assist with preparation of patient letters if requested;

    assist with managing schedules for clinic; work with clinic nurses/staff to ensure all patient paperwork is returned and clinic schedule is correct.

  • Coverage

    Provide backup administrative support for other office admins as requested.

    Other duties as assigned.

Required Qualifications
  • Associate's degree from an accredited college or university in a related field.
  • OR High School Diploma/GED from a recognized State or Federal accrediting organization with a minimum of three years of progressively responsible office support experience.

  • Detail-oriented
  • Excellent interpersonal, verbal, and written communication skills
  • Proficient in Microsoft Office and other computer software/databases
Shift/Salary/Benefits

Shift: Days/M-F

Pay Band: B3

Salary Range: $16.54/hourly - $19.86/hourly

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.
