Office Administrator/ Coordinator
Position Summary
This position provides complex administrative and secretarial support for the Institute of Government's faculty and staff working onsite at Fort Benning, Georgia. Roles and responsibilities include assisting the Fort Benning Defense Community Resilience Program staff with on and off installation work associated with the installation and surrounding community project management. This role is responsible for coordinating day‑to‑day administrative operations, including managing calendars, scheduling meetings, coordinating travel, and supporting general office functions.
The position requires the ability to prioritize multiple tasks and manage communications effectively across various platforms. Additional responsibilities include organizing and maintaining documentation, tracking reports, developing agendas, supporting meeting logistics, research, note‑taking, and drafting materials such as memos, summaries, and mass distribution emails.
- Conduct general administrative functions: manage office supplies, coordinate mail and shipments, answer phones, and provide day‑to‑day operational support.
- Serve as point of contact for assigned programs, ensuring effective coordination, participant support, and accurate tracking of program activities. Maintain records, support compliance requirements, and coordinate with external partners. Track financial and program‑related data.
- Support project & event execution: coordinate logistics, attend meetings, document discussions and action items, assist with site visits and data collection, plan and coordinate meetings, training, and events.
- Provide staff & operational support: process expense reports, coordinate travel and required documentation, maintain records, and support internal processes in accordance with UGA policies and procedures.
- Manage inventory & equipment: oversee inventory and coordinate maintenance of Institute vehicles and equipment at Fort Benning to ensure operational readiness.
High school diploma or equivalent and 2 years of related experience.

Knowledge, Skills, Abilities- Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
- Ability to maintain accurate and complex records, with strong attention to detail and organization skills.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and adapt in a fast‑paced environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel), Adobe, and Quick Books.
Lift/carry/move boxes or equipment up to 20-35 lbs. Sit at computer for long periods of time.
