We are seeking a highly organized, detail-oriented Creative Operations Resourcing Coordinator to support a fast-paced creative services team within a complex organization. This role manages the intake-to-delivery workflow for a high volume of communications, creative, production, and digital requests.
You will partner closely with operations leadership, pod leads, creative teams, and stakeholder groups to ensure work is properly logged, prioritized, assigned, tracked, and delivered. The ideal candidate is comfortable managing shifting priorities, protecting confidential information, and bringing structure to complex workflows.
What You’ll Do Creative Intake & Resourcing- Own the request queue as the primary intake point for incoming briefs, production tickets, and creative requests.
- Triage requests and assign work to the appropriate team member or pod based on scope, urgency, expertise, and available capacity.
- Maintain accurate ticket status, priority levels, effort estimates, and project sizing fields.
- Identify duplicate, misrouted, incomplete, stalled, or conflicting requests and coordinate resolution with team leads.
- Track project hours and level of effort by project phase to support utilization, staffing, and capacity planning.
- Help improve boards, automations, intake forms, dashboards, and workflows as team needs evolve.
- Guide requestors through intake processes and help ensure briefs include the information needed to begin work.
- Provide administrative and operational support to the VP, Operations.
- Manage calendars, coordinate meetings, and proactively resolve scheduling conflicts across internal teams and external stakeholders.
- Coordinate onsite meeting logistics, including rooms, materials, travel, technology, and attendee communications.
- Prepare, format, and quality-check executive materials such as presentations, staffing plans, organizational charts, and status reports.
- Track action items, milestones, deadlines, and deliverables; follow up with owners to help keep work on schedule.
- Serve as a trusted coordination point for day-to-day scheduling and operational communications.
- Support daily operations across integrated creative, production, implementation, and review functions.
- Coordinate scheduling and logistical needs for an onsite production studio supporting live and recorded communications, video, photography, and events.
- Maintain organized digital files, trackers, documentation, and shared team resources across collaboration platforms.
- Assist with expense reporting, invoice coordination, budget tracking, vendor coordination, and onboarding logistics.
- Monitor timesheet completion and support accurate, timely hours reporting across the team.
- Pull and distribute utilization and capacity reports, escalating gaps and discrepancies as needed.
- Document processes and support continuous-improvement initiatives as the operation grows.
- Support logistics for recurring, high-visibility internal communications programs, leadership events, broadcasts, and studio productions.
- Coordinate scheduling, credentialing, travel, vendor needs, materials, staffing support, and onsite details as required.
- Assist with special projects and cross-functional coordination across communications, production, legal, compliance, and strategy teams.
