Role Description

The ideal candidate is compassionate, professional, detail-oriented, and comfortable balancing customer support with sales objectives. This role requires proactive client engagement, lead follow-up, relationship building, and the ability to communicate complex information clearly and confidently.

Key Responsibilities
  • Provide responsive, empathetic, and professional support to clients via phone, email, and other communication channels.
  • Manage inbound leads and actively follow up with prospective clients throughout the sales journey.
  • Educate clients on Xytex services, donor options, processes, policies, financing opportunities, and next steps.
  • Build rapport and maintain strong relationships with clients while working toward established sales and performance goals.
  • Document all client interactions accurately within CRM and internal systems.
  • Maintain consistent follow-up schedules to nurture leads and support client decision-making.
  • Coordinate with internal departments, including Customer Relations, Laboratory Operations, Genetics, Shipping, and Finance, to resolve client concerns and ensure a seamless experience.
  • Assist with insurance verification, financing coordination, patient lending programs, storage inquiries, and account maintenance.
  • Prepare and process client documentation, agreements, disclosures, authorizations, and account-related forms.
  • Support administrative functions including data entry, record maintenance, reporting, and account audits.
  • Handle sensitive personal and medical information with discretion and confidentiality.
  • Maintain a thorough understanding of Xytex products, services, regulatory requirements, and industry best practices.
  • Contribute to team initiatives designed to improve client satisfaction, retention, and overall sales performance.
Qualifications
  • Strong customer service, relationship-building, and communication skills.
  • Experience in sales, lead generation, account management, or customer success environments.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Comfortable discussing sensitive topics with empathy and professionalism.
  • Experience utilizing CRM systems to track communications, opportunities, and client engagement.
  • Self-motivated with the ability to work independently while contributing to a collaborative team environment.
  • Healthcare, fertility, reproductive services, or related industry experience is preferred but not required.
  • Strong client-facing capabilities, including Client Relations and Customer Support skills.
  • Proven ability to promote Customer Satisfaction through timely follow-up, problem solving, and service recovery when needed.
  • Excellent interpersonal skills, with the ability to build trust, show empathy, and work with individuals and families from diverse backgrounds.
  • Clear and professional Communication skills, both verbal and written, for explaining processes and documenting interactions.
  • High level of discretion and respect for confidentiality, especially when handling sensitive health and family-planning information.
  • Strong organizational skills and attention to detail, with the ability to manage multiple client requests and priorities efficiently.
  • Comfort with using CRM or client management systems, email platforms, and basic office software.
  • Prior experience in customer service, healthcare, reproductive services, or a related field is preferred.
  • Bachelors Degree; additional education in communications, health services, or a related area is a plus.
