College/Department Information:
The Dental College of Georgia at Augusta University provides dental education through patient care, research, and service. Patients may receive treatment in student clinics, resident care, or faculty practice, across more than 20 clinics in Georgia.

Job Summary

This position will assist with coordination and administrative efforts as directed by the Director of Patient Services. Responsibilities include quality control measures for on-time graduation of senior students, reviewing proposed treatment plans, demographic information, internal and external referral requests for accuracy, and patient compliance counseling focusing on DCG policies and protocols. The role also involves reviewing students’ use and compliance with the pre-doctoral appointment system and, when necessary, taking appropriate action.

Communication with patients, students, staff and faculty by email, telephone and in person to provide information, explain and resolve minor problems is required. Duties include inputting student rotation data; maintaining student competency forms; and generating letters to patients and students’ clinical activity reports as needed.

Responsibilities
  • PRE-DOCTORAL CLINICS:
    Primary responsibility for year-round templating (twice in fall, twice in spring) of pre-doctoral clinics, including building clinic books and scheduling clinical chairs for all pre-doctoral programs through a structured process. Manage master rotation spreadsheet, student calendar, and events calendar. Label chairs, coordinate patient assignments, manage daily clinical operations, and ensure optimal use of clinical resources. Perform schedule reviews to avoid discrepancies;

    adhere to deadlines; final schedules are distributed to D1–D4 student providers. Provide ongoing support to faculty, students, and patients to maintain workflow efficiency and service quality.
  • PCC CLINIC:
    Keep Director of Patient Services, Patient Care Coordinator (PCCs), and faculty informed of clinical utilization; adjust schedules as needed; handle rotation swaps and administrative tasks for ~300 pre-doctoral students (e.g., patient inactivation, assignments, no contact letters, step transfers).
  • COLLABORATE:
    Collaborate with internal customers as needed.
  • MONITOR PROGRESS REVIEWS:
    Schedule, block, and monitor progress reviews for 6 PPCs.
  • SCREENING PATIENTS & DATA:
    Assist students with scheduling screening patients, collect data for registration and clinical codes; back up screening and EDS clinic.
