Job Summary: The Department Administrator is responsible for overseeing the daily operations of the Department of Neuroscience & Regenerative Medicine, managing a $19.6 million budget, coordinating personnel actions, and supporting faculty, staff, and students. The role collaborates closely with the department chair, dean, and university finance office to produce financial and statistical reports for grant submissions.

Responsibilities
  • Human Resources & Personnel Management
    • Prepare position classification forms, route for approvals, and manage hiring processes for faculty, staff, postdoctoral fellows, and students.
    • Coordinate job offers, drug-screenings, lab start-ups, office moves, and onboarding activities with HR and faculty.
    • Assist with promotion and tenure using Interfolio and oversee outside-activity compliance (OA1/OA2).
    • Handle J‑1 and H‑1B scholarship paperwork, including visa extensions and hiring documentation.
    • Approve payroll, leave, and FMLA requests for exempt employees; advise staff on leave balances.
  • Financial Management & Procurement
    • Oversee departmental funding sources, including extramural grants, and manage yearly budgets up to $19.6 million.
    • Approve supply, equipment, and P-card expenditures; prepare budget amendments and personnel cost transfers.
  • Effort Reporting & Capital Asset Management
    • Maintain NIH cap compliance for faculty, prepare ePARs, and conduct quarterly effort certification.
    • Oversee inventory of approximately 800 capital assets and coordinate cost-transfer processes.
  • Space & Building Coordination
    • Manage space inventory in Archibus and act as building coordinator for the CA & Interdisciplinary Research building.
    • Approve access, key requests, renovations, and emergency plan updates.
  • Special Projects
    • Organize Neuroscience retreats, symposiums, and the weekly seminar series.
  • Additional Duties
    :
    Perform other tasks as assigned by the department chair or dean.
Required Qualifications
  • Bachelor's degree from an accredited institution in Business Administration or a related discipline.
  • At least six years of demonstrated administrative management experience.
Preferred Qualifications
  • Master's degree from an accredited institution in a relevant field.
Knowledge, Skills, & Abilities
  • Proficient with Microsoft Office and related databases.
  • Excellent interpersonal, organizational, written, and verbal communication skills.
  • Ability to interact with all levels of staff and make independent, confidential decisions.
  • Sound judgment and professional decision-making.
Shift / Salary / Benefits

Shift: Days;
Monday – Friday (outside normal business hours may be required).

Salary: $95,200 – $121,400 annually (commensurate with qualifications within the established pay band B16).

Benefits: Health, dental, life insurance, Teachers Retirement or optional retirement plan; paid vacation, sick leave, and 13 paid holidays. Tuition Assistance Program is available to eligible employees with more than six months of service.
