Job Summary
The Assistant Director for Counseling Services leads front desk operations in the Office of Student Financial Aid. The role advises students and families on financial aid options, eligibility, and application processes, manages aid awards, ensures compliance with regulations, and supports cross‑functional counseling services.
Responsibilities- Provide counseling to students and families regarding financial aid eligibility, aid programs, distribution, and renewal requirements.
- Advise students on how enrollment status and Satisfactory Academic Progress (SAP) impact aid awards.
- Offer non‑aid options such as payment plans to meet institutional charges by payment deadlines.
- Supervise three Financial Aid Assistants, ensuring high‑quality customer service via telephone, email, and walk‑in interactions.
- Manage staffing, leave requests, and annual performance evaluations for front desk staff.
- Monitor customer service performance, deliver training and support, and implement workflow efficiencies to improve response times and information accuracy.
- Process federal, state, and institutional aid following documented policies and procedures.
- Maintain compliance with key requirements such as Return of Title IV (R2T4) funds, Verification, SAP, and other regulatory standards.
- Maintain accurate records, review counseling processes for compliance, and address issues with the financial aid leadership team.
- Perform other duties as assigned.
- Bachelor's degree from an accredited college or university.
- Three years of financial aid or relevant work experience.
- Experience with student information systems such as Banner, Department of Education software, NSLDS, COD, and Ed Connect.
- Willingness to learn Ellucian Banner SIS, Campus Logic, Technolutions Slate CRM, and other databases/interfaces.
- Detail‑oriented with strong prioritization and organizational skills.
- Ability to maintain confidentiality.
- Strong problem‑solving and project implementation skills.
- Collaborative with internal and external stakeholders.
- Comprehensive understanding of federal and state statutes regarding eligibility and distribution of student financial aid.
- Professional judgment and critical thinking for interpreting regulations and guidelines.
- Ability to work with a wide range of people.
- Knowledge of FERPA laws and ability to comply.
- Teamwork spirit and excellent communication skills.
- Shift: Days, Monday‑Friday (outside standard business hours may be required).
- Pay Band: B10.
- Salary: $52,500 to $54,600 annually, commensurate with qualifications.
- Benefits include health, dental, life insurance, retirement options, earned vacation, sick leave, and 13 paid holidays. Tuition Assistance Program may be available after 6 months of employment.
- Recruitment Period:

- Successful completion of a background check.
- Credit check required for positions involving cash or purchase card use.
- Motor vehicle reports required for positions that require driving a university vehicle.
- For faculty hires, proof of completed degrees and transcripts is required; foreign‑trained candidates must provide credential evaluation.
- All employees must adhere to cybersecurity and privacy policies.
