The Grant Program Manager has primary responsibility for managing funds under the care of the Research Section including General Ledger, Sponsored Project, and Foundation funds. This position manages the daily operations of the research team to ensure funds are expended in alignment with departmental expectations for fiscally responsible practices and in compliance with any applicable sponsor and institutional policies. The Grant Program Manager manages labor distribution and effort certification.
This position manages pre‑ and post‑award activities for research conducted in Family and Community Medicine to ensure sponsor compliance and effective portfolio management. The Grant Program Manager conducts performance management activities with the research staff.
- Funds Management: Ensure fiscal responsibility and compliance, maintain knowledge of Federal, State, private agency and institutional regulations and policies. Manage spending, tracking and reconciliation of expenditures including procurement, contracting, review, monthly reporting, transaction review, funds transfer, troubleshooting, and correction of posted expenditure.
- Analyze and Prepare Budget Forecasts: Communicate financial position and projections with PI/PD/FM managers, manage fiscal budgeting, advise with leadership, develop school of medicine budget input and manage proposal and actual budgets for sponsored projects and Foundation gifts.
- Labor Distribution/Effort Distribution: Manage labor schedules and distribution adjustments, lead biannual effort certification process, maintain and advise PI/PD/DFCM Managers on employee FTE projections.
- Sponsored Projects Management: Pre‑award: guide proposal development, ensure regulatory compliance, advise faculty and staff. Award acceptance: manage award acceptance, just‑in‑time responses, fund setup, and budget impact. Post‑award: manage portfolio compliance, reporting, forecasting, budgeting, contract management, award extensions and closeout.
- Other Duties: Perform related duties and special projects as assigned.
- Education: Bachelor’s degree with 5 years of relevant experience, preferably in healthcare management and budget management; OR Master’s degree with 3 years of relevant experience.
- Experience: Experience in grant writing and securing grant funding.
- Knowledge, Skills & Abilities: Maintain confidentiality, detail-oriented, excellent interpersonal and communication skills, proficiency with Microsoft Office and other software/databases.
- Shift: Days/M-F (may require outside normal business hours).
- Pay Band: 13.
- Salary Minimum: $68,500 annually.
- Salary commensurate with qualifications within the established range.
