Client Care Coordinator

The Client Care Coordinator is responsible for creating an exceptional experience for clients before, during, and long after their real estate transaction. This role focuses on maintaining relationships with past clients, coordinating client appreciation initiatives, supporting marketing efforts, and ensuring every client feels valued as a client for life. The ideal candidate is organized, proactive, customer‑service oriented, and enjoys building relationships within the community.

Responsibilities

Client Care
  • Manage and maintain the past client database.
  • Coordinate past client follow‑up and communication.
  • Send birthday, holiday, home anniversary, and thank‑you cards.
  • Coordinate closing gifts and client appreciation gifts.
  • Request and track client reviews and testimonials.
  • Help ensure every client receives a five‑star experience.
Marketing & Client Engagement
  • Keep marketing materials and branded items organized and stocked.
  • Assist with newsletters, email campaigns, and client communications.
  • Coordinate client appreciation events and pop‑by gifts.
  • Order and maintain inventory of client gifts, promotional items, and office supplies.
Community Engagement
  • Stay informed about local community events.
  • Coordinate a weekly local business spotlight or giveaway.
  • Build relationships with local businesses and community partners.
  • Assist with promoting community events and local businesses.
Administrative Support
  • Maintain organized client records and databases.
  • Track client birthdays, home anniversaries, and follow‑up schedules.
  • Assist with special projects as assigned.
  • Help maintain systems that support the client experience.
Qualifications
  • Excellent customer service and interpersonal skills.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Detail‑oriented and dependable.
  • Self‑motivated with the ability to work independently.
  • Comfortable learning new technology and CRM systems.
  • Marketing, customer service, or real estate experience is preferred but not required.
