Position Summary

Office Associate II – Recovery Division Cash Management Team, Department of Administrative and Financial Services (DAFS), State of Maine. Full‑time position located in Augusta, Grade 13, salary $17.73–$25.53 per hour (inclusive of 2.50% recruitment stipend). This position is not eligible for visa sponsorship or STEM OPT extensions.

Responsibilities
  • Receive, review, and sort daily mail (cash, checks and credit card payments) from DHHS offices statewide.
  • Accurately record all incoming payments and completed cash receipts into the appropriate check log upon arrival to ensure proper tracking and reporting.
  • Ensure payments are recorded and posted to the general ledger within three business days.
  • Review and verify deposit backup, prepare for mail carrier pickup, and maintain all cash receipts/backups by scanning and verifying documentation into Docuware.
  • Work with internal and external customers to deposit funds and identify opportunities to improve/standardize process.
  • Research and correct errors and variances, escalating for resolution as needed.
  • Communicate effectively and build relationships with internal and external customers.
Qualifications
  • Training, education, or experience in office and administrative support work demonstrating competency in modern office practices and independent decision‑making.
  • Proof of initiative and attention to detail contributing to operational process improvements.
  • Flexibility to balance multiple tasks and priorities while meeting tight deadlines.
  • Strong time‑management skills and ability to meet deadlines.
  • Outstanding customer service skills, work ethic, and ability to collaborate with multiple stakeholders to achieve common goals.
  • Team‑work and collaboration are essential.
  • Ability to data‑enter a high volume of transactions with a high level of accuracy.
