Accounting Operations Supervisor – Secretary of State / Bureau of Motor Vehicles, Finance Division – Augusta, Maine – Grade 21 – Monday through Friday – Salary: $22.63 – $31.95 – Closing Date:
July 31, 2026.
- Oversee the General Processing team within the Accounting Unit by setting priorities, supervising staff, and providing guidance to ensure efficient operations.
- Manage daily deposits, accounts receivable (A/R), and accounts payable (A/P) processes while addressing additional responsibilities as needed.
- Monitor workflow, identify opportunities for process improvements, collaborate with leadership to implement enhancements, and serve as a subject‑matter expert for resolving operational issues within the team.
- Maintain knowledge of applicable laws, regulations, policies, and accounting standards—including SAAM, GAAP, GASB standards, and Office of the State Controller (OSC) guidance—to ensure compliance and accurate financial operations.
- Provide courteous, accurate, and efficient service to internal and external stakeholders, supporting the team in meeting service expectations.
- Maintain a consistent and stable level of processing, preventing backlogs and ensuring compliance with Department, OSC, and legislative deadlines.
- Build and sustain effective teams by fostering collaboration, accountability, and a respectful, productive workplace culture.
- Apply analytical thinking and sound judgment to operational decisions while ensuring accuracy, consistency, and compliance.
- Communicate rules, policies, and changes clearly to staff, leadership, and partners.
- Identify issues, assess risk, and implement practical, solution‑focused responses to support staff through challenges.
- Adapt to evolving policies, procedures, and technologies, including process‑improvement and modernization initiatives.
- Supervise and support direct reports by monitoring performance, providing coaching, and ensuring work meets Accounting Unit expectations.
- Serve as a subject‑matter expert for General Processing functions, including accounts payable, billing, deposits, Docu Ware, BIE entry, and other operational processes.
- Evaluate workflows, identify risks and opportunities for improvement, and collaborate with stakeholders to implement process enhancements.
- Provide customer service and operational support to internal and external stakeholders as a point of contact for General Processing inquiries.
- People Leadership:
Lead and support employees across varying levels of experience, providing coaching and guidance to help staff meet team goals. - Communication &
Collaboration:
Conduct clear, professional conversations with empathy, supporting staff growth and maintaining team standards. - Training & Workforce Development:
Guide onboarding, training, and ongoing development to support staff readiness and goals. - Emotional Intelligence:
Demonstrate self‑awareness, empathy, discretion, and sound judgment, particularly in high‑stress situations. - Continuous Improvement:
Support innovation, learning, and process improvement to enhance service delivery.
- Preference for candidates with digital fluency, a process‑improvement mindset, comfort with new technologies, experience digitizing paper‑based work, and strong written communication.
- Supervisory experience in accounting or business operations.
- Experience with accounts payable, accounts receivable, deposits, or financial processing.
- Experience improving workflows and processes.
- Knowledge of accounting principles and financial regulations.
- Strong organizational, communication, and problem‑solving skills.
- Authorized to work in the United States. No visa sponsorship or STEM OPT extensions available.
- Successful candidate must pass a National Criminal Background check, which may include fingerprinting.
- Completion of an I‑9 form upon hire is required.
Education, training, and/or experience in Business/Public Administration, Accounting, Economics, or a related field that demonstrates competency in coordinating business operations, reviewing and maintaining records, and acting in a leadership capacity.
