Office Specialist II – Department of Professional & Financial Regulation (and Boards) – Job Class Code: 6550, Grade: 19 (Administrative Services)
Salary: $20.23 - $29.14 per hour.

- Answer phone calls and emails; take, route, and resolve administrative issues.
- Track complaints and schedule complaint meetings; present complaints to the Board for resolution.
- Coordinate accounting and general operating activities; assemble financial statements and procure supplies.
- Review, evaluate, and provide recommendations on program policies, procedures, and rules.
- Administer and grade licensing exams and process applications for licensure.
- Assist with rule making process, filings, and associated workflow.
- Develop and recommend new work methods and administrative policies/procedures to improve existing work practices.
- Liaise between Board of Optometry members and internal/external sources on key matters.
- Prepare for and execute Board meetings, including posting, drafting agendas, and summarizing meeting outcomes.
- Represent the program at public meetings, explaining organizational, program, and/or project goals.
- Attend board/committee meetings to provide administrative services.
- Knowledge of the principles of organization, office management, and bookkeeping.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently, multitask, and use discretion in dispensing information.
- Strong communication skills – compose, review, and edit complex business correspondence.
- Ability to initiate, coordinate, implement, and evaluate administrative activities.
- Analytical skills – analyze solutions, reach logical conclusions, and make sound recommendations.
- Ability to apply rules, regulations, and policies to non-routine cases.
- Understanding of management goals and ability to adapt work operations to changing circumstances.
- Effective representation skills for internal and external meetings.
Training, education, or experience in administrative support demonstrating competence in advanced administrative support tasks at the statewide level, requiring independent judgment, initiative, and decision‑making on complex matters.
Licensing / Registration / Certification RequirementsSome positions may require possession of a valid Class B Maine Motor Vehicle Operator's License.
