Overview

This position requires direct contact with members of the public and other agencies in person and by phone. The position also performs routine, varied office support tasks often requiring the operation of technical office equipment as well as knowledge of Microsoft applications.

Job Description

Classification in the Office & Administrative Support Job Family. Provides office and administrative support to an agency, program, or operational unit requiring operation of office equipment and knowledge of office processes and diverse clerical functions.

Representative Tasks
  • Answer incoming calls and greet members of the public in person and by phone.
  • Direct members of the public to the appropriate resources or refer non-routine inquiries to resources.
  • Open, distribute, and handle mail for the Augusta Central Office.
  • Type varied business correspondence such as letters, reports, and orders.
  • Create spreadsheets and perform data management.
  • Maintain computerized and manual files.
  • Operate technical office equipment.
  • Compile address information for large mailings and create mail merge documents.
  • Examine/proofread documents to detect errors and irregularities.
  • Collect and input payments in accordance with set procedures.
Knowledge, Skills, and Abilities Required
  • Knowledge of information distribution through use of the internet.
  • Ability to create and use varied correspondence formats and compose standard business correspondence.
  • Ability to prepare standard reports.
  • Ability to develop and use computerized formats.
  • Ability to perform basic secretarial duties.
  • Ability to collect, count, and reconcile fees in accordance with set procedures.
  • Ability to stay current and understand, discuss, explain, and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.
  • Ability to determine facts, detect errors and irregularities, and take appropriate action in accordance with established procedures.
  • Ability to effectively resolve problems.
  • Ability to exercise good judgment in appraising situations and making decisions/recommendations.
Minimum Qualifications

Training, education, or experience in office and administrative support work that demonstrates competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and the ability to use independent decision‑making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
