Position: Office Specialist II Supervisor (Administrative Assistant to the Superintendent)

Position Overview

Riverview Psychiatric Center, Augusta, Maine – Office Specialist II Supervisor (Job Class Code: 6593, Grade 22). Salary: $23.67 - $34.05 per hour. This confidential supervisory role supports the Office of the Superintendent and is responsible for coordinating executive‑level administrative functions that contribute to the efficient operation of the organization.

Responsibilities
  • Manage the day‑to‑day administrative activities of the Superintendent’s Office.
  • Prepare and edit correspondence, maintain policies and procedures.
  • Coordinate office operations, board and committee meetings.
  • Liaise between the Superintendent and internal and external stakeholders to ensure effective communication and follow‑through on important initiatives and priorities.
  • Monitor regulatory and licensing requirements, track customer concerns, maintain administrative records.
  • Identify opportunities to improve office processes and efficiencies.
Minimum Qualifications
  • Advanced administrative support experience at statewide level with broad scope or functional diversity.
  • Competency in applying proficient modern office practices and independent judgment on complex matters.
  • Experience supporting executive leadership and strong written and verbal communication skills.
  • Proactive problem‑solving ability, attention to detail, and sound judgment.
  • Ability to manage multiple priorities while handling confidential information with discretion.
  • Ability to work independently in a fast‑paced environment.
Licensing Requirements

Some positions may require possession of a valid Class B Maine Motor Vehicle Operator’s License.
