Job Description: This position will provide advanced office and administrative support work, performing complex and varied administrative tasks that often require the operation of technical office equipment and programs. The role supports the Licensing Division within the Office of Cannabis Policy, exercising independent judgment, initiative, and discretion to conduct varied determinations and ensure appropriate processes are followed. The incumbent will assist individuals with a variety of issues in a professional manner, requiring effective communication skills.
TypicalDuties
- Ensure all registration identification card applications, registration certificate applications, adult use applications, and other information are entered in a timely and accurate manner into ALMS.
- Provide a high level of customer service in all interactions with the public.
- Assist with management and oversight of all electronic data filing, including training and guidance to staff.
- Administer and process applicable licenses per set procedures.
- Collect, count, reconcile, and deposit fees per established procedures.
- Receive and greet visitors and determine customer needs.
- Complete processing of applications and mailing to program participants within program expectations.
- Answer questions regarding the MMMP and Adult Use statutes, rules, and general program operations, and know when to consult with supervisor.
- Comply with state policy requirements, including human resources, security protocols, and confidentiality policies.
- Review ALMS input/output and develop/implement quality control standards.
- Train office associates/assistants.
- Write summary reports and trend analyses.
- Recommend operational improvements, implement new policies and procedures.
- Research, compile, and analyze complex information to reach conclusions and make recommendations.
- Present routine factual information to individuals or groups.
- Determine and requisition inventory supplies.
- Update and modify forms, letters, and applications as necessary.
- Knowledge of payroll principles, procedures, and automated payroll systems.
- Knowledge of human resources practices and employee benefits.
- Knowledge of principles, practices, and equipment related to quality control of data input and output.
- Knowledge of laws and practices related to motor vehicle titles.
- Ability to develop and change web pages using established content.
- Ability to verify, code, compute, and reconcile data on standard documents.
- Ability to conduct research, gather information, and analyze results to reach conclusions.
- Ability to oversee and maintain inventory supplies.
- Ability to review data input/output from electronic systems and develop quality control standards.
- Ability to examine motor vehicle title applications and related documents to determine ownership.
- Ability to write clear and comprehensive reports.
- Ability to develop and recommend new work methods and administrative policies/procedures.
- Ability to understand and promote management goals as they affect day‑to‑day operations.
- Ability to repair, service, clean, and maintain issued materials.
This position requires training, education, and/or experience in office and administrative support work that demonstrates competency in applying advanced office practices and independent judgment. Preference will be given to candidates with experience or knowledge of the Adult Use and Medical Cannabis Programs.
