Job Description

This position provides advanced office and administrative support to the Licensing Division within the Office of Cannabis Policy. Responsibilities necessitate independent judgment, initiative, and discretion to ensure appropriate processes are followed and provide professional assistance to individuals.

Typical Duties
  • Enter registration identification card applications, registration certificate applications, adult use applications, transactions, and related information into ALMS accurately and timely.
  • Deliver high‑level customer service in all public interactions.
  • Assist with management and oversight of electronic data filing, including training and guidance to project staff.
  • Administer and process applicable licenses per established procedures.
  • Collect, count, reconcile, and deposit fees according to procedures.
  • Receive and greet visitors and determine customer needs.
  • Process applications and mailing to program participants within program expectations.
  • Answer questions regarding the MMMP and Adult Use statutes, rules, and general program operations, and know when to consult with a supervisor.
  • Comply with state policies, security protocols, and confidentiality policies for state business purposes.
  • Review ALMS input and output, develop and implement quality‑control standards for data input structures and output assurance.
  • Train office associates/assistants.
  • Write summary reports and trend analyses.
  • Recommend operational improvements and implement new policies and procedures.
  • Research, compile, and analyze complex information for conclusions or recommendations.
  • Present routine factual information to individuals or groups.
  • Determine and requisition inventory supplies.
  • Update and change forms, letters, and applications as necessary.
Knowledge, Skills, and Abilities Required
  • Knowledge of payroll principles, procedures, and automated payroll systems.
  • Knowledge of human resources practices and employee benefits.
  • Knowledge of quality control for data input and output in office systems.
  • Knowledge of motor‑vehicle title laws and practices.
  • Ability to develop and modify web pages using established content.
  • Ability to verify, code, compute, and/or reconcile data on standard documents.
  • Ability to conduct research, gather information, and analyze results to reach conclusions.
  • Ability to oversee and maintain inventory/supplies.
  • Ability to review input and output from electronic systems and develop quality‑control standards.
  • Ability to examine motor‑vehicle title applications and related documents to determine ownership.
  • Ability to write clear and comprehensive reports.
  • Ability to develop and recommend new work methods and administrative policies or procedures.
  • Understanding of management goals affecting day‑to‑day operations.
  • Ability to repair, service, clean, and/or maintain issued materials.
Minimum Qualifications

Training, education, and/or experience in office and administrative support work demonstrating:
1) Competency in applying modern office practices for advanced administrative tasks requiring specialized skills, and
2) The ability to use independent judgment, initiative, and discretion to make determinations on varied matters.

Preference will be given to candidates with knowledge of the Adult Use and Medical Cannabis Programs.
