Position: Customer Rep Assistant II - Anticipated Vacancy

Customer Service Position

This is a customer service position performing public receptionist duties at the front desk for the Department of Public Safety, which requires independent judgment in prioritizing assignments and selecting the most appropriate course of action within established operating procedures.

Primary responsibilities include:

  • Assist the public at the Department of Public Safety front desk.
  • Explain, inform, and/or initiate calls on routine matters.
  • Deliver mail to the internal DPS mail center and sort mail for appropriate units.
  • Type varied routine business correspondence such as letters, reports, contracts, vouchers, and agendas from draft or original source documents in revised or final form.
  • Receive, sort, register, issue, monitor, and maintain informational materials such as books and publications.
  • Organize and maintain computerized and/or manual files.
  • Monitor and maintain inventory/supplies.
  • Operate applicable specialized equipment upon completion of appropriate training.
  • Log and track mail, checks, visitor IDs, and other information as requested.

Skills or knowledge required:

  • The successful candidate will have a proven history of customer service skills.
  • Basic administrative and computer skills.

Minimum qualifications:

Training, education, or experience in office and administrative support work that demonstrates
1) competency in applying a general knowledge of the principles and practices of quality customer service to provide routine, detailed informational assistance to a diverse customer base; and
2) the ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures.
