Position Summary
This position is primarily responsible for deposit account and safe deposit box maintenance, quality control of maintenance, exception items processing, HSA and IRA custodial duties, and supporting Bank staff with internal inquiries.
Key Responsibilities Deposit and Safe Deposit Box Account Maintenance- Maintenance and Quality Control: Process and quality control all address changes, auto transfers, stop payments, deceased customer maintenance, product changes, and other account maintenance on time and accurately. Review all new deposit and safe deposit box accounts and documentation as applicable. Review applicable reports and process savings bonds, account charge offs, and legal actions, such as levies and garnishments, on time and per specified guidelines and procedures.
- IRA/HSA custodial duties: Maintain IRA and HSA account records as appropriate. Review IRA and HSA transactions and files for proper regulatory and IRS reporting. As required, produce annual correspondence to customers. Keep abreast of current IRA and HSA rules, regulations, and requirements. Provide guidance and training to Bank staff and customers as needed; assist with research and error resolution.
- Internal support: Support Bank staff with internal inquiries and troubleshoot requests related to deposit and safe deposit box accounts.
Process exception item processing (stop payment and non‑posts), remit IOLTA and RAHF interest, and report federal and state tax withholding. Review and quality control end of year tax forms. When required, serve as a backup for payment services functions including, but not limited to, processing wire transfers, card servicing, statement and notice rendering, and items processing tasks. Complete appropriate back‑office transactions and mail processing.

Maintain knowledge of current Bank products and services. Actively utilize as many Bank products and services as possible in order to fully understand their features and benefits and to be able to communicate effectively with customers and prospective customers.
Community/Public RelationsActively participate in community organizations and events. Represent the Bank in the community.
Other DutiesDemonstrate reliable attendance and punctuality. Handle telephone inquiries and provide information to customers, vendors, and other departments in a professional and courteous manner. Attend and participate in Bank meetings. Attend internal and external training to improve skills and knowledge relevant to the operations specialist. Perform other duties as required.

Requirements Education & Experience Required- High school graduate.
- 1 to 3 years’ experience in electronic banking, including a knowledge of Reg E and ACH rules.
- Experience on the Fiserv system is desirable.
- Proficiency in Microsoft Office is required, including Outlook, Excel and Word.
- Must be able to prioritize and organize workflow; must have good attention to detail; must be able to handle multiple jobs.
- Must have the ability to analyze problem situations and determine appropriate options for resolution of the issue.
- Must be able use the telephone to converse with customers for extended periods of time; must have good listening ability and skills.
- Must have a high degree of ethics and maintain confidentiality of customers and accounts.
- Must be friendly, courteous, and sensitive to the needs of customers and coworkers.
- Must be able to lift files and other documents of approximately 20 pounds.
- Must be able to read and work with computer reports.
- Must be able to stand or sit for extended periods of time.
- Must be able to spend extended periods of time operating a computer keyboard and working at a computer monitor.
