Position Summary
We are seeking a highly professional, proactive, and detail-oriented Executive Assistant to the CEO to provide comprehensive administrative, operational, and personal support to the Chief Executive Officer, with additional support to the Chief Operating Officer as needed. This role is critical to the efficiency of executive operations and requires discretion, strong judgment, and the ability to anticipate needs in a fast‑paced environment.
The ideal candidate is polished, tech‑savvy, comfortable working with senior leadership and private equity partners, and thrives in a high‑trust, high‑responsibility role.
Key Responsibilities
Executive & Administrative Support
Manage complex executive calendars, including proactive scheduling, prioritization, and coordination of internal and external meetings.
Coordinate and manage all travel arrangements for the CEO and COO, including itineraries and last‑minute changes.
Act as a gatekeeper for executive inboxes, responding on behalf of the CEO when appropriate and ensuring timely follow‑up.
Handle confidential and sensitive information with the highest level of discretion and professionalism.
Provide personalized executive support, including day‑to‑day executive needs and special requests.
Board, Investor & Executive Meetings
Coordinate Board of Directors and executive‑level meetings, including scheduling, agenda preparation, materials distribution, minute‑taking when required, and setting up the boardroom, including all required technology (video conferencing, presentations, audio).
Accounting & Expense Support
Support basic accounting and financial administration as needed (including paying and reconciling executive expenses and credit cards, tracking invoices, and using Sage 50).
Liaise with accounting and finance teams to ensure accuracy and timeliness.
Operational & Office Support
Proactively identify and resolve scheduling conflicts, gaps, or inefficiencies.
Coordinate logistics for meetings, events, and executive initiatives.
Serve as a key point of contact between executives and internal or external stakeholders.
Support ad‑hoc projects and requests as required.
Qualifications & Experience
University degree required.
Minimum 3 years of experience supporting senior executives (CEO or C‑suite preferred).
Strong organizational, time‑management, and prioritization skills.
Working knowledge of accounting principles; experience with Sage 50 is a strong asset.
High level of technical proficiency, including Microsoft Office, calendar systems, video conferencing platforms, and boardroom technology.
Excellent written and verbal communication skills.
Highly professional, detail‑oriented, proactive, and resourceful.
Must be able to work onsite.
