The Registrar / Front Office Clerk supports the daily operations of AXL Academy by serving as the school's registrar and providing front office administrative support. This position is responsible for maintaining accurate student enrollment and records, ensuring compliance with school and district requirements, and creating a welcoming, organized, and responsive front office environment for families, students, staff, and visitors.
In addition to registrar and clerical responsibilities, this role provides administrative support to the Family and Community Engagement Team and the Marketing Team, assists with school communications and outreach efforts, and supports school operations as needed. The Registrar / Front Office Clerk works under the supervision of the Director of Operations and collaborates closely with school leadership and office staff.
Essential Duties and Responsibilities Student Records and Data Management- Serve as the primary registrar for new, current, and transferring students.
- Maintain accurate and up-to-date student records in Infinite Campus and other required data systems.
- Process student enrollment, withdrawals, and records transfers in compliance with school, district, and state policies.
- Ensure accuracy and compliance of student demographic information, emergency contacts, immunization records, and required documentation.
- Greet and assist families, students, staff, and visitors in a professional, welcoming, and culturally responsive manner.
- Answer, screen, and direct phone calls, emails, and voicemails.
- Manage incoming and outgoing mail and packages and distribute them appropriately.
- Support communication between school and home through flyers, notices, mailings, and other correspondence.
- Scan, file, and maintain student records and front office documentation in both digital and physical formats.
- Assist with data entry, form collection, reporting, and compliance documentation as directed.
- Support basic bookkeeping tasks, including logging checks and preparing materials for the school accountant.
- Maintain organized paper and digital filing systems for student records, compliance documents, and operational materials.
- Provide administrative and logistical support to the Family and Community Engagement Team, including event coordination, communications, and preparation of materials.
- Support the Marketing Team with clerical tasks, data tracking, distribution of marketing materials, and school communications as needed.
- Assist with family-facing outreach, community events, and school-wide engagement efforts.
- Maintain inventory of front office materials, forms, brochures, and school supplies.
- Order general front office supplies under the direction of the Director of Operations.
- Assist with meal counts or required documentation for APS Nutrition Services as needed.
- Provide backup support for the Administrative Assistant during breaks or as assigned.
- Drive the school van as needed for school-related duties, events, or student transportation, in accordance with school policies and licensing requirements.
- Work collaboratively with the Director of Operations, Administrative Assistant, school leadership, and staff to ensure smooth daily operations.
- Coordinate with instructional and support staff to respond to student and family needs.
- Participate in professional development and training related to student data systems, front office procedures, and school operations.
- Maintain confidentiality at all times and strictly adhere to FERPA and school policies.
- Perform other duties as assigned to support school operations, even when those duties may fall outside the primary scope of this job description.
- Create a welcoming, respectful, and supportive environment for families, students, staff, and community members.
- Serve as a consistent, calm, and professional presence in the front office.
- Support families by providing timely access to enrollment services, student records, and school information.
- Maintain systems that allow teachers and leaders to focus on learning and instruction.
- Ensure accuracy, integrity, and timeliness of student data and records.
- Support school-wide organization, compliance, communication, and operational excellence.
- High school diploma or equivalent required; associate degree or relevant office experience preferred.
- Strong interpersonal, communication, and customer service skills.
- Ability to multitask, manage confidential information, and maintain organized records.
- Proficiency with email, spreadsheets, databases, and standard office equipment.
- Familiarity with Infinite Campus or other student information systems preferred.
- Bilingual (Spanish/English) preferred.
