- Receives and screens inquiries, ensuring responses and follow‑ups are completed
- Researches information to resolve problems or concerns when solutions are unclear
- Instructs customers on filing out forms/documents

- Schedules meetings and administrative appointments
- Takes/transcribes/distributes meeting minutes as requested
- Ensures clear and concise communication with customers, co‑workers, supervisors, and appointing authority
- Creates, compiles, and builds employee personnel files; maintains confidentiality and files all documentation into electronic personnel files
- Creates, maintains, and tracks data using appropriate software
- Verifies releases, gathers information, and monitors file reviews as requested by employees, supervisors, investigators, and attorneys
- Scans and uploads release documents into current files
- Provides accurate information to approved stakeholders regarding employment verifications, dates, salaries, and titles
- Utilizes Microsoft Word, Access, Excel, PowerPoint, DCIS, PCDCIS and other software to enter, track, and retrieve data
- Distributes information via mail, e‑mail, and fax to appropriate parties
- Establishes, maintains, and updates office record‑keeping systems, tickler files, forms, internal logs, and reminder notices
- Drafts, prepares, edits, and publishes correspondence, documents, reports, etc.
- Designs and revises documents to include hand‑outs, flyers, instructions, manuals and more
- Other duties as assigned
- Three years of general clerical experience in an administrative or office support role (any part‑time work is prorated)
- A combination of related education in Business, Criminal Justice or a similar discipline and/or relevant experience equal to three (3) years
- Proficiency in position‑related office technologies, especially Microsoft Office (Word, Excel, PowerPoint)
- Ability to work directly with inmates in a prison environment
- Exceptional interpersonal/customer‑service skills
- Excellent written and oral communication skills
- Efficient management and input of data and tracking
- Strong multitasking and flexibility
- Impeccable organizational, planning, and prioritizing skills
- Precise attention to detail
- Self‑control and ability to work in stressful, potentially violent situations
- Ability to remain alert, emotionally stable, and mentally resilient under pressure
- Tolerance to stress, confinement, and high‑stakes interaction
- Ability to read, comprehend, and communicate fluently in English both verbally and in writing
- Relevant years of state service working with confidential information
- Experience proofreading, editing, or creating documents
- Experience supporting a program or work unit
- Experience with data‑entry, checking, and verifying
- Experience with the National Crime Information Center (NCIC) and Colorado Crime Information Center (CCIC)
- Experience creating and maintaining budgets and budget reports
- If using a substitution, one year of clerical experience is preferred
- Must be 18 years of age or older
- Must possess a valid, non‑restricted Colorado driver’s license
- Must have a high school diploma or GED
- Must have no felony convictions or relevant pending criminal matters
- Must have valid U.S. work authorization; no H‑1B sponsorship
- Must successfully pass all modules of the six‑week Colorado Department of Corrections Basic Training, including defensive tactics and related assessments
- Must be physically capable of completing defensive tactics requirements (lifting, striking, grappling, etc.) and withstand the listed physical demands
- Must complete tuberculosis screening upon hire
- Must pass a comprehensive background investigation (including a minimum of ten years of most recent work experience or shorter if directly relevant)
- Must comply with mandatory drug screening and anti‑distribution policies (random testing may occur)
- Conditions of employment are contingent upon successful medical screening and required certifications
