Project Coordinator

Overview

The Project Coordinator provides routine administrative support to internal and external project management team members, ensuring timely data collection, processing, filing, and reporting to support project documentation, compliance, and communications.

Key Responsibilities
  • Utilize the responsibility matrix (Work Smart) to align duties with ongoing business process improvement efforts.
  • Collect, process, input, organize, and file data and documentation from various sources and stakeholders according to established business processes.
  • Ensure information is processed within specific time frames to maintain efficiency and timeliness.
  • Provide timely and effective communication to internal and external stakeholders.
  • Support project management during the bidding process: create bid invitations, prepare specifications documents, address regulatory and compliance requirements, and track bid communications.
  • Support project management during the award process: issue bond memos, set up and issue subcontracts, and provide system access to dashboards.
  • Organize information into standard formats and generate reports in systems such as project dashboards, CMiC, and electronic signature tools, maintaining documents per the established file structure.
  • Coordinate submission of project documentation per project requirements and prepare routine correspondence (letters, emails, meeting notes, proposals), reviewing materials for conformance with best practices.
  • Create and distribute Potential Change Items (PCIs) and Requests for Information (RFIs), following up on pricing efforts and change order distribution.
  • Manage project deliverables including dashboards and electronic processing of submittals, pay applications, bills of sale, compliance documentation, RFIs, and change documents.
  • Track, monitor, and collaborate with stakeholders to ensure documentation (badging, certified payroll, diversity reporting, insurance certificates, bonds, lien waivers, affidavits) meets compliance requirements before payments are released.
  • Receive and direct incoming telephone calls and visitors and provide additional administrative support to other functions as needed.
  • Share subject‑matter expertise to support teamwork and deliver results.
  • Maintain discretion and integrity with confidential information.
  • Demonstrate commitment to customer satisfaction through courtesy, sensitivity, and prompt responses to client needs.
  • Manage difficult or emotional customer situations promptly and efficiently.
  • Meet client commitments and recognize opportunities for service improvement.
  • Solicit and apply feedback to improve quality and service.
  • Support various administrative needs for the project team, including arranging travel and managing expense reporting.
Knowledge, Skills & Abilities

Education

High School Diploma or GED (Required).

Experience
  • 2+ years of administrative or clerical support experience (Required).
  • 2+ years of construction project support experience (Preferred).
Working Environment
  • Must be able to lift up to 10 pounds.
  • Periods of travel may be required.
  • Willingness to work non‑traditional hours to meet project needs.
  • Normal office environment with possible exposure to extreme conditions (hot or cold).
