Mail Clerk

Full‑time position at ATA Services, Inc., overseeing the sorter stuffer machine and supporting the agency by processing incoming mail, distributing it, handling outgoing mail, managing supplies, and maintaining equipment in compliance with Social Security Administration guidelines.

Duration: 1 year;
Non‑exempt hourly rate: $19/hour.

Responsibilities
  • Mailroom:
    Pick up incoming mail from the first and fifth floors, distribute mail throughout the agency, run outgoing mail through postage meters, deliver outgoing mail to the first‑floor secure room for USPS pickup, perform general clerical duties such as scanning paperwork, word processing, responding to e‑mails and phone calls, purging files, filing, data entry, and ensure adequate postage and bulk‑mail orders.
  • Determine appropriate distribution and processing of incoming and outgoing mail, ensuring mail integrity until it reaches the intended recipient.
  • Supplies:
    Receive supplies ordered by the agency, track supplies using the DDS Supplies Data Base, maintain federal forms, brochures, and envelopes, monitor supplies and place orders, deliver small supply items during mail runs, distribute copy paper and large items on a weekly schedule.
  • Surplus and Meeting Room Setup:
    Maintain copiers, fax machines, and mail machine—clear jams, diagnose malfunctions, schedule repairs, change ink cartridges; assemble, move, set‑up, take‑down, and rearrange office furniture and equipment for meetings and trainings; collect shredder bins for on‑site shredding; identify, document, and request removal of surplus furniture and equipment, and maintain files of completed forms returned from DOC.
  • Diagnose and determine best course of action to clear jams and malfunctions of office machinery and to address surplus equipment and supplies.
