Full‑Time Position 32 hours per week

Monday‑Thursday

8 am‑4:30 pm

We are seeking a dedicated and organized Receptionist / Administrative Assistant to join our team. As a receptionist, you will be the first point of contact for our agency. Your friendly demeanor, strong organizational skills, and ability to provide excellent customer service will contribute to creating a positive experience for our visitors and callers. The Receptionist / Administrative Assistant plays a crucial role in supporting our day‑to‑day operations by providing efficient and effective administrative support to the Accounting Department, CEO, and Human Resources to ensure smooth office functioning. The Receptionist / Administrative Assistant will answer phones, greet customers, file paperwork, perform data entry, scan documents, receive and sort mail, and perform any other tasks that contribute to the function of the organization.

RESPONSIBILITIES
  • Provide comprehensive reception and phone coverage while maintaining an elevated level of professionalism.
  • Answer multi‑line phone system and forward incoming calls to the appropriate person/department.
  • Prepare certified mail/express mail forms as requested.
  • Distribute incoming mail and prepare outgoing mail.
  • Perform Accounting team, CEO, and Human Resource clerical duties as needed to include, but not limited to, scanning, copying, filing, etc.
  • Special projects, as assigned.
  • Manage contracts database/files.
  • Manage web‑based policy management system.
  • Manage vendor files.
  • Process insurance‑related tasks (vehicle registration requests, etc.)
  • Ordering of office supplies for the Administration Building.
  • Use excellent customer service skills to establish and maintain effective working relationships with employees, agencies, participants, external partners, and the general public.
  • Communicate professionally with all levels of management internally and externally.
  • Regular attendance is required for assigned shifts and as outlined by Starpoint's attendance policy.
  • Adhere to all of Starpoint's established protocols and policies.

QUALIFICATIONS
  • Previous experience as a receptionist or in a similar role is preferred.
  • Knowledge of Microsoft Word, Microsoft Excel, and other Office Suite products.
  • Ability to work independently and also collaboratively with others to achieve defined goals.
  • Excellent communication skills
  • Outstanding analytical and organizational skills, with attention to detail
  • Ability to maintain a high level of confidentiality.
REQUIRED EDUCATION AND EXPERIENCE
  • High school diploma or G.E.D.
  • 1‑year administrative experience in a professional environment.
PHYSICAL REQUIREMENTS
  • It may require sitting in front of and operating a computer for extended periods.
  • Requires close visual acuity when operating a computer.
  • Must be able to communicate with others and comprehend instructions.
  • Requires light lifting and carrying.
  • Routinely uses standard office equipment such as computers, phones, and photocopiers.
  • Must be able to move around an office environment.
