Position: Business Services Professional - (Open Rank: Intermediate to Senior)

Job Summary

University of Colorado Anschutz Medical Campus – Department of Physiology and Biophysics – Business Services Professional (Open Rank: Intermediate to Senior).

Work Location

Onsite – Aurora, CO.

Responsibilities

Chair Operations Assistant (60%)

  • Provide administrative support to the Department Chair, including managing schedules, coordinating meetings, screening and prioritizing email communications, and ensuring prompt responses.
  • Organize and maintain files, records, and documentation for easy accessibility and retrieval.
  • Accurately input and update information into databases, spreadsheets, and other systems.
  • Draft and proofread business correspondence, reports, and presentations to maintain a professional image.
  • Coordinate travel plans and accommodations for the Chair.
  • Handle travel related to chair duties, such as lab staff recruitment.

Department Operations Specialist (40%)

  • Provide administrative support to department faculty, including managing schedules and coordinating meetings.
  • Coordinate travel plans and accommodations for faculty and other staff such as lab staff recruitment or visiting collaborators.
  • Order and manage office supplies and equipment, ensuring adequate inventory levels.
  • Ensure the office environment is clean, organized, and conducive to productivity.
  • Handle general incoming and outgoing correspondence, including emails and phone calls for department administration.
  • Maintain and organize office files, records, and documentation for department administration.
  • Manage the conference room reservation system.
  • Operate the coffee machine in the break room, including ordering supplies and scheduling maintenance.
Qualifications

Minimum Qualifications:

Intermediate level:

  • A bachelor’s degree in business, business administration, education, social sciences, healthcare administration, public administration, communications, or a related field from an accredited institution.
  • 1 year of professional level experience.

Senior level:

  • A bachelor’s degree in the same fields.
  • 2 years of professional level experience, with a combination of education and related technical/paraprofessional experience substitutable one year for one year.

Preferred Qualifications:

  • Master’s degree in any of the stated fields.
  • Previous experience with administrative and/or faculty program support in an academic or medical setting.

Competencies:

  • Strong organizational skills and ability to manage multiple tasks and deadlines.
  • Professional demeanor for handling sensitive and confidential information.
  • Proficiency in Microsoft Office Suite and other office technologies.
  • Effective written and oral communication skills.
  • Ability to establish and maintain effective relationships with employees at all levels.
  • Outstanding customer service skills.

Salary

Starting salary range:

  • Intermediate: $56,995 – $72,498
  • Senior: $61,616 – $78,376
