Job Summary
The Service Coordinator is responsible for coordinating and supporting daily service operations to ensure timely, efficient, and high-quality service delivery to customers. This role serves as a key point of contact between customers, service technicians, and internal teams, managing work orders, scheduling service calls, and maintaining accurate service records. The Service Coordinator helps optimize technician utilization, supports customer satisfaction, and ensures compliance with company procedures and service standards.
Essential Duties & Responsibilities- Create work orders
- Work with service managers to respond to requests including Vista updates
- Notify customer of ETA and provide updates as necessary
- Follow‑up with service technician as necessary
- Assist service managers where needed
- Book approved jobs
- Order parts and track parts
- Communicate with customer regarding parts ETA, scheduling
- Handle permits, inspections, factory start‑ups; prepare job costing reports
- Process SWAP paperwork and follow up to ensure credit on warranties, returns, etc.
- Write proposals and request quotes from vendors
- Process billing for service (T&M), quoted jobs, and projects
- Follow up on past‑due invoices; process credit card payments
- High school diploma or GED required; associate degree or technical training preferred
- 2+ years of experience in service coordination, dispatching, or a similar service support role
- Strong scheduling and dispatching skills with the ability to manage multiple priorities in a fast‑paced environment
- Proficiency with service management software, CRM systems, and Microsoft Office (Outlook, Excel, Word)
Minimum hourly wage rate $25.00 to maximum hourly wage rate $32.00
; DOE. The position is eligible for an annual discretionary bonus.
