Fleet Maintenance Administrator
Salary: $48,000 – $55,000 per year.
Essential Functions- Processes all invoicing daily.
- Matches all paid invoices with purchases by account interface detail.
- Files all invoicing neatly by week.
- Acts as point of contact for all vendors and customers to check payment statuses of garage invoicing.
- Verifies vendor statements in the maintenance program and vendor books to provide payment status.
- Assists in new vendor setups in the maintenance program.
- Files fuel binder documents, environmental documents, and needed TMAP binder items.
- Builds timecards weekly, submits HR forms for any garage personnel needed, and sends FMLA calendars for garage personnel.
- Prepares licensing documents required by the state when registering new tractors.
- Files employee documents.
- Files PM work orders and equipment file documents, recording tire airing completed by the garage.
- Sends out weekly fuel files to third‑party carriers.
- Learn the fuel reporting process and trains as an alternate on fuel processing to fill in as a backup.
- Builds fuel cards when requested by all transportation groups.
- Posts company HR/Safety postings for all employees.
- Submits tool, boot, and safety eyewear documents for garage employees.
- Performs additional assigned admin duties as directed by the manager.
Monday through Friday, 7:00 AM to 3:30 PM. Weekends off.

- At least 3 years’ experience in a fast‑paced office environment.
- Demonstrated attention to detail.
- Past experience in the transportation industry Required.
- Intermediate to advanced proficiency with payroll processing platforms.
- Intermediate use of MS Office Suite required.
- Proven ability to work with confidential data.
- Ability to work independently.
- Ability to work under pressure.
- Regular attendance is an expectation to ensure proper support of the Transportation team.
- Must have previous experience in a truck maintenance shop.
