Job OverviewThe Administrative Service Coordinator is responsible for providing high-level administrative and customer service support to patients, families, internal team members and providers.
This position establishes additional administrative support for the Utilization Review department, ensuring continuity of operations and timely management of critical authorization and utilization review workflows across Children's Hospital Colorado's network of care. The role will focus on supporting and optimizing ASC processes, promoting workflow standardization in the PHP/IOP service lines, enhancing operational efficiency, and providing consistent coverage to meet the evolving needs of the UR program.
This position is a key component of the department's growth strategy, strengthening seven-day operational support and expanding administrative resources to support high-quality patient care and payer management activities.

An employee in this position may be called upon to do any or all of the following essential functions. These examples do not include all of the functions which the employee may be expected to perform.
- Performs complex calendar management support for multiple professionals. Provides operational, financial, and physician support.
- Arranges and schedules meetings, including conference calls and seminars, for internal team members. Arranges and schedules interviews and makes travel arrangements for providers.
- Provides communication support, including creating and reviewing power point presentations as directed, taking notes/meeting minutes, creating flyers as prescribed, and creating correspondence.
- Provides patient scheduling, i.e. clinic and/or surgery scheduling (50% or less of total time).
- Provides a high level of customer service support and assistance to patients, families, physicians and other internal/external customers.
- Supports office management functions such as, setting up and maintaining files, receiving and referring inbound calls and ordering supplies.
- Receives inbound and/or places outbound patient calls in order to schedule appointments and to route calls as appropriate.
- Performs reception duties utilizing various systems including telephone, fax machine, mail services, email and copy services.
- Performs data entry and tracking functions. Supports patient safety by adhering to all infection control policies and safety guidelines.
- Utilizes and remains up-to-date with department office operations and established policies and procedures.
Education: High school diploma or equivalent is required.
Experience: Minimum of two (2) years of administrative and/or customer service experience is required.
Equivalency: A relevant Associate's or Bachelor's degree may substitute for required experience on a year for year basis.

PREFERRED QUALIFICATIONS- Demonstrated knowledge of healthcare authorization, utilization review, and payer approval processes.
- Experience working directly with commercial and government healthcare insurance companies, including navigation of payer portals from a hospital/facility perspective.
Pay is dependent on applicant's relevant experience.
Hourly Range: $22.20 to $33.30
