Dental Clinic Support Services (Administrative Assistant II)
The University of Colorado Anschutz Medical Campus seeks an Administrative Assistant to support the Dental Clinic and pre‑doctoral programs. This full‑time, patient‑facing position requires excellent customer‑service skills, strong organization, and familiarity with dental office processes.
Key Responsibilities- Greet and assist virtual, phone, and walk‑in patients and guests, providing exceptional customer service to over 250 patients daily.
- Answer all incoming calls and route them appropriately; page and take messages for staff and faculty.
- Coordinate patient, student, and faculty scheduling, troubleshooting issues and resolving conflicts.
- Monitor patient check‑in and check‑out procedures.
- Identify intake and scheduling trends and provide feedback to supervisors to improve workflows and policies.
- Respond to patient inquiries and provide information on clinic policies and workflows.
- Maintain, retrieve, and release confidential patient records, updating information and signatures as needed.
- Register new patients in electronic health records.

- Two (2) years of general clerical or administrative experience.
- Or a combination of related education and/or experience equal to two (2) years.
- Colorado residents at the time of application.
- Three (3) years of general clerical or administrative experience.
- Experience working with faculty, staff, and students in an academic, medical, or dental environment.
- Experience in a dental or medical office setting.
- Familiarity with internal processes and electronic filing systems.
- Bilingual in English and Spanish.
- Knowledge of administrative and clerical procedures and systems.
- Strong time‑management skills and ability to coordinate multiple concurrent activities.
- Ability to analyze, interpret, and evaluate laws, regulations, and policies.
- Knowledge of dental terminology, dental coding, and clinical patient records systems (e.g., AXIUM, EPIC).
- Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams) and other business applications.
- Knowledge of office administration, customer service, community engagement, and student support services.
- Excellent written and oral communication, including public speaking.
- Ability to build effective working relationships across all levels of the institution.
- Knowledge of applicable federal and state laws and regulations.
- Ability to maintain confidentiality with sensitive information.
- Proactive, takes initiative, collaborates to improve team performance.
- Detail oriented, dedicated, and professional.
