Department: Operations & Human Resources

Reports To: Senior Director of Operations & Human Resources

Employment Status: Part-Time, Non-Exempt

Schedule: Monday–Friday, generally 10:00 a.m.–3:00 p.m.

Work Location: Onsite

Hours: Approximately 25 hours per week

Pay Range: $20-$22 per hour

Position Summary

The Part-Time Receptionist serves as the primary onsite point of welcome for clients, visitors, community partners, vendors, and other guests of The Blue Bench. The position maintains a welcoming, professional, trauma-informed, and organized front-office environment while providing reception and routine administrative support to the organization.

This is a fully onsite position. Regular and reliable onsite attendance during scheduled hours is an essential function of the role.

Essential Duties and Responsibilities Reception and Visitor Support
  • Welcome clients, visitors, community partners, vendors, and other guests in a professional, respectful, and trauma-informed manner.
  • Direct visitors to the appropriate staff member, department, or service and notify staff of arrivals.
  • Maintain awareness of scheduled appointments, meetings, trainings, and other office activities to support effective visitor coordination.
  • Manage routine visitor and vendor access in accordance with organizational safety, security, and confidentiality procedures.
  • Maintain a welcoming, organized, and professional reception and waiting area.
  • Maintain appropriate confidentiality, discretion, and professional boundaries when interacting with clients and visitors, including individuals who may be experiencing distress.
General Inquiries
  • Respond to routine organizational inquiries and provide general information about The Blue Bench's programs and services.
  • Direct individuals seeking services or assistance to the appropriate program, staff member, or resource.
  • Recognize situations requiring specialized or immediate assistance and promptly involve the appropriate staff member.
  • Maintain clear boundaries between reception responsibilities and specialized crisis, advocacy, clinical, and resource-line services.
Office and Administrative Support
  • Receive, sort, and distribute incoming mail, packages, and deliveries; coordinate outgoing mail, shipping, and courier needs.
  • Serve as an onsite point of contact for routine deliveries, vendors, service providers, and scheduled pickups.
  • Provide routine administrative support, including copying, scanning, filing, document preparation, and related tasks.
  • Monitor reception and general office supplies and communicate replenishment needs to Operations.
  • Help maintain shared office spaces and prepare conference and meeting rooms for organizational use.
  • Coordinate with Operations regarding routine facilities, building access, vendor, delivery, and other front-office needs.
  • Assist with organizational projects and other related duties as assigned.
  • Participate in required meetings and trainings and follow organizational policies and procedures applicable to the position.
Required Qualifications
  • High school diploma or equivalent.
  • Strong interpersonal, customer-service, and communication skills with the ability to provide a welcoming and professional experience for clients, visitors, staff, vendors, and community partners.
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities and routine interruptions.
  • Ability to maintain confidentiality, exercise sound judgment, and remain professional in sensitive or unexpected situations.
  • Ability to work independently, follow established procedures, and recognize when situations should be escalated to another staff member.
  • Basic proficiency with computers and standard office technology, including email, calendars, and Microsoft Office applications.
  • Ability to interact respectfully and effectively with individuals from diverse backgrounds and experiences.
  • Reliable and punctual attendance with the ability to work onsite Monday through Friday, generally from 10:00 a.m. to 3:00 p.m.
Preferred Qualifications
  • Previous experience in reception, customer service, office administration, hospitality, or a related role.
