Office Administrator/ Coordinator
We are seeking a detail-oriented and organized Construction Administrative Assistant to support our owner, sales team, and day-to-day office operations. The ideal candidate will have strong communication and organizational skills, the ability to manage multiple priorities, and a professional approach to working with customers, vendors, and internal teams.
Construction or office experience within the construction industry is preferred, but we are willing to train the right candidate.
Key Responsibilities- Provide administrative support to the owner and sales/construction team
- Prepare and organize quotes, estimates, bids, proposals, and contracts
- Maintain accurate customer, project, and vendor records
- Respond to customer inquiries regarding services, pricing, scheduling, and project status
- Coordinate communication between customers, vendors, sales staff, and field teams
- Assist with scheduling appointments, meetings, inspections, and project activities
- Follow up with customers and provide ongoing administrative support
- Enter and maintain project and customer information in company systems
- Assist with invoices, purchase orders, and other project-related documentation
- Maintain organized electronic and physical files
- Prepare reports, spreadsheets, and other administrative documents
- Track project paperwork and ensure information is accurate and up to date
- Assist with various office, construction, and sales-related projects as needed
- Previous administrative, construction office, customer service, or sales support experience preferred
- Construction industry experience is a plus
- Strong written and verbal communication skills
- Excellent organizational and time-management skills
- Strong attention to detail and follow-through
- Ability to multitask and prioritize in a fast-paced environment
- Proficient with Microsoft Office, email, and data-entry systems
- Comfortable working with numbers, documents, and spreadsheets
- Professional, dependable, and willing to learn
- Strong problem-solving and critical-thinking skills
- Ability to work independently while also supporting a team
