Classification: Part-Time, Non-Exempt (Hourly)

Position Summary

The Grants & Development Project Specialist is responsible for managing the organization’s grant development workflow and supporting broader development operations. This role emphasizes project management, coordination, and accountability, while also performing grant research, proposal development, submission tracking, and reporting.

Approximately 80% of the role focuses on grant-related project management and proposal development. The remaining 20% provide general development operations and donor-support assistance.

This position is ideal for a highly organized project manager with experience in grant writing or nonprofit development who excels at moving work from concept to completion.

Key Responsibilities Grant Pipeline & Workflow Management
  • Manage the end-to-end grant development process from opportunity identification through submission and reporting
  • Maintain accurate grant pipeline data, deadlines, and workflow stages in the organization’s existing tracking systems
  • Create and manage grant project timelines, task assignments, and internal checklists
  • Proactively coordinate with program, finance, and leadership staff to gather required inputs
Grant Research & Proposal Development
  • Research and identify grant opportunities aligned with organizational priorities
  • Draft, edit, and submit grant proposals and letters of inquiry
  • Adapt organizational narratives and data to funder guidelines
  • Ensure submissions meet quality standards and deadlines
  • Track submission outcomes, awards, and declinations
  • Coordinate preparation of required grant reports
  • Maintain organized grant documentation in shared systems
Reporting & Accountability
  • Provide monthly progress updates on pipeline status, submissions, and upcoming deadlines
  • Ensure accurate and consistent use of organizational tracking and reporting tools
Development Operations Support (Approx. 20%)
  • Assist with donor stewardship activities and acknowledgements
  • Support donor database accuracy and data entry
  • Assist with fundraising campaign and event logistics
  • Prepare reports and materials for development meetings
  • A fully updated grant pipeline and workflow calendar in existing systems
  • Established internal grant project management routines and checklists
  • Grant submissions completed in alignment with funding cycles
  • Updated boilerplate grant narratives and shared documentation
  • Consistent use of grant and donor tracking tools
Required Qualifications
  • 2+ years of project management or operations coordination experience
  • Experience managing multi-step workflows with multiple stakeholders
  • Some experience in grant writing, nonprofit development, or proposal support
  • Strong writing, editing, and organizational skills
  • Ability to manage deadlines independently in a part-time role
  • Proficiency with Google Workspace and/or Microsoft Office
Preferred Qualifications
  • Experience in nonprofit development or grants management
  • Familiarity with Colorado or regional funders
  • Experience using grants management systems or CRMs
  • Background in fundraising operations or donor relations

  • Hours may flex based on deadlines and fundraising cycles
Schedule

Approximately 20–25 hours per week

Compensation

Hourly rate: $32.50–$37.50 per hour
