Office Assistant – Pulmonary Medicine Clinic

Position Summary: Office Assistants are responsible for processing appointments, receiving customers, and managing encounters for both in-person visits and phone contacts. The role includes handling medical information, such as results and encounter documentation, in electronic or paper form. The assistant may also have primary or backup responsibility for managing encounter charge posting and clinic billing functions in a timely and accurate manner.

Hours: Full time, 40 hours per week.
Shift: 1st.

Location: Pulmonary Medicine Clinic.

Compensation: Based on experience, starting at $17.79 per hour.

Responsibilities
  • Answer all incoming calls to the clinic and forward calls to the appropriate individuals or take detailed messages as appropriate.
  • Complete patient check‑in process by verifying that all patient information is current and accurate and by preparing the patient file for the clinical staff.
  • Complete patient check‑out process, taking and posting personal payments, entering charges on the charge ticket, and totaling.
  • Enter payments into the cash drawer and reconcile the cash drawer totals daily; prepare bank deposits daily.
  • Greet patients and visitors to the clinic.
  • Perform general clerical functions including pre‑authorization or referral checks/follow‑up, managing deposits, balancing cash box, ordering office supplies, and managing electronic and paper records related to encounters.
  • Provide general assistance to patients and/or visitors as needed.
Qualifications
  • High School Diploma or equivalent (Required).
