Position Overview
As the Office Manager, you will play a vital role in ensuring the efficient operation of the office while supporting leadership initiatives, program reviews, business reporting, and administrative functions that contribute to organizational success.
Key Responsibilities- Manage complex calendars, coordinate schedules, and facilitate meetings across multiple functions and locations.
- Plan, coordinate, and host internal and external meetings, customer visits, and special events, including arranging conference rooms, logistics, catering, and meeting materials.
- Prepare, edit, and maintain professional presentations, reports, correspondence, and executive-level documentation.
- Support monthly program and business reviews by gathering status updates, compiling information, and preparing leadership presentations.
- Serve as a central point of contact for office operations and administrative activities.
- Manage office purchasing activities, supply inventories, and departmental orders, including tracking requests and processing purchases.
- Coordinate procurement of parts and other operational materials as needed.
- Support leadership teams located at multiple sites by managing schedules, communications, and administrative requests.
- Maintain accurate records, documentation, and reporting metrics while ensuring data integrity and confidentiality.
- Assist with expense reporting and administrative systems, including Concur and other business applications.
- Partner with reception and office staff to ensure a professional, welcoming, and productive workplace environment.
- Identify opportunities to improve administrative processes and office efficiency.
- Help maintain a clean, organized, and professional office environment that supports employee productivity and visitor experience.
- Collaborate effectively with cross-functional teams and act as a trusted administrative resource to leadership.
- Minimum of 2 years of recent experience supporting executives, directors, department heads, program managers, or senior leadership in an Office Manager, Executive Assistant, Administrative Manager, senior Administrative Assistant, or similar role.
- Experience coordinating executive schedules, meetings, travel arrangements, and business priorities in a professional office environment.
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Demonstrated experience creating executive presentations, reports, dashboards, and business correspondence.
- Exceptional organizational, multitasking, and time-management skills.
- Bachelor's degree preferred.
- Experience supporting senior leadership or executive teams.
- Experience with Concur for expense management and purchasing activities.
- Experience with Confluence or similar document management and collaboration platforms.
- Experience supporting program management, operations, engineering, or project management teams.
This position is fully onsite.
- Monday through Friday schedule.
- Hours are 7:00 AM to 4:00 PM (preferred) or 8:00 AM to 5:00 PM.
- A 7:00 AM start is preferred to support business activities across multiple time zones, including the East Coast.
- Employees work a 9/80 schedule, meaning:
- Week 1:
Nine-hour days Monday through Friday (45 hours). - Week 2:
Nine-hour days Monday through Thursday, with Friday off. - Every other Friday is a scheduled day off.

This is a Permanent position based out of Aurora, IL.
Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
