Event Manager

The Event Manager is responsible for supporting the daily operations of the conference center, lounge, and amenity spaces on-site. Working closely with the Property Management team, you will coordinate and manage meetings, including organizing food and beverage services, setting up rooms, and arranging audiovisual equipment. In addition to managing meetings, you will greet guests on the amenity floor and spearhead the creation and execution of creative, engaging events and tenant engagement initiatives for the building, with support from The Experience Group’s corporate team and guidance from Property Management.

Key Responsibilities
  • Support the daily operations of the conference center, lounge, and amenity spaces.
  • Collaborate with the Property Management team to plan and coordinate meetings, including food and beverage arrangements, room configurations, and audiovisual needs.
  • Welcome guests to the amenity floor and lead the development and execution of engaging programs and events for building tenants, with input from the corporate team and Property Management.
  • Ensure the amenity and common spaces are well-maintained, functional, and presentable, promptly reporting any maintenance needs.
  • Partner with the Property Management team to create fun, innovative, and engaging tenant events and programs.
  • Manage the budget for tenant engagement activities.
  • Work with Property Management to communicate building events and offerings through various platforms.
  • Design marketing materials to promote and increase usage of amenity spaces and services.
  • Conduct tours of the amenity spaces and meet with clients.
  • Create and distribute event contracts.
  • Coordinate logistics, including janitorial, audio visual, and equipment for events.
  • Support the booking and rental of meeting spaces, ensuring payment collection.
  • Build and maintain relationships with third-party vendors to enhance the customer experience.
  • Follow up with tenants post-event to gather feedback and ensure continuous improvement.
Qualifications
  • Proven experience in event management, hospitality, or property management.
  • Strong organizational and multitasking skills, with the ability to manage multiple events simultaneously.
  • Excellent interpersonal and communication skills, with a focus on customer service and building relationships.
  • Ability to work collaboratively with diverse teams
  • Proficient in event planning software and general office applications (e.g., Microsoft Office, Canva).
  • Experience managing budgets and ensuring efficient resource allocation.
  • Strong attention to detail and problem-solving skills.
  • Ability to adapt to changing priorities and handle unexpected challenges in a fast-paced environment.
  • A proactive and enthusiastic approach to tenant engagement and event planning.
  • Flexibility to work evenings or weekends, as needed, to accommodate events.
Experience
  • BS degree preferred, but related hospitality and event experience considered.
  • A minimum of 2 years of event and meeting planning experience or 5 years hospitality experience, or Degree in Hospitality, Marketing or Communications.
