Position Summary

The Delivery and Operations Specialist is the central point of contact for Interim team members, clients, candidates, and placements. This remote role provides logistical and operational support to coordinate all phases of Interim projects, ensuring consistent, high‑quality service.

Responsibilities
  • Project Execution:
    • Serve as point of contact to schedule client calls regarding new projects, candidate presentation calls, video interviews, selection calls, and interim executive check‑in calls.
    • Assist in coordination of travel arrangements for the Interim team, candidates, and placements in collaboration with our third‑party travel company.
    • Liaise with HR and finance on opening and closing opportunities, holding jobs, and activating new projects.
    • Review time‑worked submitted via Workday, sign off on interim executive invoices, and ensure accurate billing.
    • Generate draft contract agreements for interim projects and coordinate redline approvals through the Intel Agree system.
    • Send final contracts to clients and candidates for signature once the interim executive is confirmed.
    • Provide administrative and operational support to Interim placements, including MFA setup, expense management, time‑worked recording, and background screening.
    • Partner with client and interim executive on onboarding requirements, arrange appointments, gather and summarize information, and confirm first‑day instructions.
    • Ensure due diligence is completed and stored in Witt Kieffer’s proprietary database before activating a new job.
    • Work with the Practice leader on outstanding accounts receivable, send reminder notifications, and reconcile monthly company credit card bills.
  • Team Collaboration and Communication:
    • Maintain confidentiality regarding personal and employment data.
    • Escalate concerns contrary to Witt Kieffer policies or standards as needed.
    • Participate in regular team huddles to review active and hold projects, determine priorities and action items.
    • Demonstrate professional communication skills verbally and in writing.
    • Collaborate across multiple departments (research, IT, accounting, HR) for quality and timely project deliverables.
    • Provide backup assistance and support to other team members when necessary.
  • Document and Data Management:
    • Create, edit, and proofread deliverables, including contracts, agreements, and internal training documentation.
    • Maintain up‑to‑date and accurate job search information in Witt Kieffer’s proprietary database.
Candidate Profile
  • Bachelor's degree strongly preferred. Minimum of five years of executive administrative support experience if no degree, three years with degree.
  • Exceptional verbal and written communication skills.
  • Customer service mindset.
  • Proofreading and editing experience, with ability to recommend improvements.
Benefits and Compensation

Base salary $58,000 to $80,000 plus a target bonus of 5% of base salary. Witt Kieffer offers a full benefits package including medical, dental, vision, 401(k), life and disability insurance, and generous paid time off.
