Position SummaryThe Repair Order Coordinator plays a key role in ensuring the efficient and timely management of customer repair requests for wastewater treatment equipment.
This individual will coordinate repair orders from initiation through completion while maintaining clear communication between customers, service technicians, and internal departments. The ideal candidate will have strong organizational skills, attention to detail, and a solid understanding of mechanical or industrial equipment. Experience in the wastewater industry is preferred but not required.
Key Responsibilities- Receive, review, and process incoming repair orders from customers and internal teams.
- Coordinate scheduling of service technicians, both in-house and in the field, based on repair priorities and resource availability.
- Communicate with customers regarding repair status, estimates, approvals, and timelines.
- Prepare and maintain detailed repair documentation, including service reports, work orders, and parts used.
- Ensure accurate entry of repair orders into ERP or service management systems.
- Collaborate with the Parts Department to confirm availability and timely procurement of necessary components.
- Track repair order progress to ensure deadlines are met and escalation delays when necessary.
- Maintain records for warranty claims and ensure compliance with manufacturer guidelines.
- Provide administrative support to the Service Manager, including generating performance reports, reviewing invoices, and maintaining service metrics.
- Support continuous improvement initiatives designed to enhance service efficiency and customer satisfaction.
- Perform other related duties as assigned.
- Associate's or bachelor's degree in Mechanical Engineering, Business, or a related field.
- 3+ years of experience in service coordination, repair order management, customer service, or a related field, preferably in an industrial or manufacturing environment.
- Familiarity with wastewater treatment systems, pumps, valves, or similar industrial equipment is a plus.
- Proficiency with Microsoft Office Suite and service/ERP software, such as Salesforce or Epicor.
- Strong communication and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and organizational skills.
- Ability to work independently while collaborating effectively with customers, technicians, and internal departments.
- Primarily office-based, with occasional visits to the shop floor or service area.
- May require occasional interaction with customers by phone or email regarding technical service needs.
- Regular interaction with service technicians, the Parts Department, Service Management, and other internal teams.
This is an exempt position offering a salary range of $60,000 to $80,000 annually and is bonus eligible.
The target bonus is 10% of base salary
. The bonus is based on the company's budgeted EBITDA performance. If budgeted targets are not met, the Board of Directors will determine the bonus, if any.
