Overview

The Executive Administrator (EA) provides high-level administrative support to six C-suite executives, including the CEO. This role demands exceptional organizational skills, discretion, and the ability to manage competing priorities in a fast-paced, high-growth environment. The EA will be responsible for executive calendar management, travel coordination, meeting preparation, internal and external communications, special projects, and creating and managing PowerPoint presentations.

Responsibilities

Executive Support:

  • Provide comprehensive administrative support to six C-suite executives, ensuring seamless daily operations.
  • Manage complex calendars, including scheduling meetings, resolving conflicts, and optimizing time management.
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
  • Prepare executives for meetings by gathering materials, drafting agendas, and ensuring timely follow-ups.
  • Act as a gatekeeper and liaison, filtering communications and ensuring that priority matters are addressed.
  • Draft, proofread, and edit correspondence, reports, presentations, and other documents.
  • Create and manage high-quality PowerPoint presentations for executive meetings, investor relations, and internal communications.

Meeting & Event Coordination:

  • Organize and coordinate executive meetings, board meetings, off-sites, and company events.
  • Record and distribute meeting minutes, action items, and follow-ups to ensure accountability.
  • Manage logistics for in-person and virtual meetings, including technology setup and catering.
  • Coordinate with internal teams and external stakeholders to ensure alignment on key initiatives.

Confidentiality & Discretion:

  • Handle sensitive company information with the utmost professionalism and confidentiality.
  • Maintain and organize confidential records, contracts, and strategic documents.
  • Serve as a trusted advisor to executives, anticipating their needs and proactively addressing challenges.

Project Management & Process Improvement:

  • Support strategic initiatives by conducting research, preparing reports, and tracking project progress.
  • Assist in developing and implementing administrative processes to enhance efficiency.
  • Manage ad hoc projects, ensuring timely execution and alignment with company priorities.
  • Oversee and coordinate cross-functional projects, ensuring milestones and deadlines are met.
  • Collaborate with internal teams to streamline workflows and improve productivity.
  • Monitor project budgets, track deliverables, and communicate progress to stakeholders.
Qualifications & Skills
  • Experience:

    4+ years of executive support experience, preferably in a high-growth or corporate environment.
  • Education:

    Bachelor s degree preferred, but relevant experience will be considered.
  • Technical Proficiency:
    Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Concur experience is a must.
  • Exceptional Organizational

    Skills:

    Ability to manage multiple priorities, deadlines, and shifting demands.
  • Communication:
    Strong verbal and written communication skills; ability to draft professional correspondence.
  • Problem-Solving: A proactive approach with strong analytical and critical thinking skills.

Compensation

Compensation:

$60,000 to $80,000 per year annual salary.
