General Description

Performs entry‑level and technical accounting support work. Work involves performing detailed assignments in recording, classifying, maintaining, examining, and verifying financial records, documents, or reports. Works under close supervision with minimal latitude for the use of initiative and independent judgment.
Essential Job Functions40% – Prepares and maintains financial statements, reports, schedules, and exhibits; processes general journal entries; and processes payment, cash, purchase, travel, and related vouchers.
- Processes cash adjustments, revenue refunds, and handles non‑sufficient funds returned Automated Clearing House (ACH) transactions in Alcohol Industry Management System (AIMS) and Versa Regulation (VR) and tracks using excel spreadsheets.
- Audits accounting and financial documents to ensure accuracy and adherence to departmental policies, procedures, as well as state and federal statutes.
- Receives cash, prepares deposit slips, and maintains cash control records.
- Researches and reconciles discrepancies in accounts, bank statements, or appropriation balances and reports findings.
- May perform financial calculations such as amounts due, interest charges, and outstanding balances.
40% – Conducts data entries for various expenditures, revenue, general ledger, and encumbrance vouchers into CAPPS and USAS.
- Records financial transactions accurately and ensures compliance with policies.
- May assist with the tracking and processing of invoices to ensure payments are made timely.
- Coordinates with team lead and supervisor in classifying, coding, posting, and balancing financial accounting documents/records.
- Files and maintains accounts payable and purchase order documentation.
10% – Uploads electronic documents and reviews quality of electronic documents and uploads to imaging system.
- Files and maintains accounts payable and purchase order documentation.
5% – Assists with reconciling discrepancies of invoices and purchases and reports findings.
- May assist with auditing and approving field receiving reports, invoices, and similar records.
5% – Performs related work as assigned.
Minimum QualificationsEducation:
Graduation from an accredited four‑year college or university with major coursework in accounting, auditing, financial, operations banking, budget, or a related field is generally preferred.
Applicable Substitutions:
Experience and education may be substituted for one another. An associate’s degree in accounting, auditing, financial, operations banking, budget, or a related field can substitute for two (2) years’ full‑time work experience.
- Prefer experience in state government accounting.
- Prefer Centralized Accounting and Payroll/Personnel System (CAPPS) and Uniform Statewide Accounting System (USAS) experience.
- Knowledge of generally accepted accounting principles and procedures affecting the maintenance of accounting records and automated accounting systems including CAPPS and USAS.
- Knowledge of related software including Microsoft Word and Excel.
- Skill in the use of a personal computer and related office equipment.
- Ability to interpret and apply accounting theory; to interpret laws and regulations; to work accurately with numerical detail, to analyze, consolidate, and interpret accounting data; and to communicate effectively.
- Ability to review work for accuracy, to accurately perform detailed numerical work, to make arithmetical computations, and to prepare financial and accounting records.
- Ability to multi‑task and meet deadlines.
- Ability to communicate effectively.
- Ability to maintain working relationships with personnel of other divisions, agencies, and the public.
