Overview
Herzog Transit Services, Inc. is currently seeking a qualified Administrative Assistant to provide administrative assistance for the Maintenance of Equipment department in Austin, TX to join our team.
Duties and ResponsibilitiesThis is a non-exhaustive overview of the job duties for this position.
- Maintain daily reporting records and (HOS) hours of services record and files.
- Compile, review, key, and update data using database and Excel spreadsheets.
- Maintain and audit information to generate accurate reporting for daily, weekly & monthly reports.
- Perform a variety of routine clerical duties such as typing, scanning, sending emails, copying data, record keeping, preparing correspondence, filing, preparing reports using a computer, and operating office machines.
- Proficient in computing, with Microsoft Word & Excel, and scheduling and maintaining calendars.
- Coordinate maintenance of office equipment, including computers, copy machines and fax machines.
- Set up and maintain ordering supplies and parts, and schedule vendors.
- Answer incoming calls, take messages, and respond to company questions and requests for information.
- Provide administrative support to the Maintenance of Equipment Department.
- Compile, sort, and file documents, such as invoices and work orders.
- Using company vehicle, deliver and pick up parts and materials from various vendors.
- Perform all duties in conformance with appropriate safety policies and procedures.
- Complete clerical functions, operate equipment and complete other duties as assigned by supervisory personnel to support the Mechanical Department.
- Track the calibration of measuring instruments and tools.
- Engage in Herzog’s culture and essential behaviors as a regular expectation for this position.
- Maintain regular and predictable attendance and punctuality.
- Other duties as assigned.
- High School diploma or equivalent.
- Three years’ experience.
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel.
- Understanding of basic mathematics.
- Good communication skills (verbal and written).
- Ability to make logical choices and draw logical conclusions.
- Ability to multitask.
- Subject to pre-employment background check and motor vehicle report review.
- Subject to pre-employment physical, medical evaluation, and drug screen.
- Successfully complete and maintain any required safety certification and testing on an annual basis.

- Work primarily in an office environment.
- Frequently sits for extended periods of time.
- Frequently use a computer keyboard and office related equipment.
- Occasional standing, walking, lifting, stooping or bending.
- Must successfully pass color/vision examinations as required by the position.
- Must be able to hear and distinguish auditory signals as required by the position.
