Baker Botts L.L.P. is seeking a temporary Rankings and Submissions Assistant to join its Client Development team. This is a temporary, full‑time, non‑exempt position responsible for providing administrative support and assistance to the Rankings and Submissions Department in managing the Firm’s directory and survey rankings submittal processes. The position may be resident in any of our Austin, Dallas, Houston, or Washington, D.C. offices.
PrimaryResponsibilities
- Coordinate preparation and submission of documents to various directories and maintain internal filing of final submission materials.
- Assist with internal and external outreach for submission updates, such as profile updates, response deadlines, and interview details.
- Plan and document internal submission processes, including meeting scheduling and post‑meeting follow‑up.
- Manage submission deadlines and collaborate with the Rankings and Submission colleagues and Client Development to ensure deadlines are met.
- Schedule interviews between survey researchers and firm lawyers; compile necessary interview prep materials and coordinate prep calls as appropriate.
- Maintain the survey calendar for submission due dates and ranking announcements.
- Track the Firm’s directory rankings and other accolades, including maintenance of the rankings content management database system and submission portal log.
- Assist with ranking analysis used by the Communications team for Firm press releases.
- Assist with submission conversions and repurposing of submissions as necessary.
- Other miscellaneous projects as assigned.
- Bachelor’s degree required.
- 1-3 years of professional administration experience, preferably with an AmLaw Top 250 law firm or in professional services.
- Comfort interacting with Firm lawyers, other professionals, and staff; diplomacy, enthusiasm, perseverance, and a sense of humor required.
- Strong organizational and prioritization skills; ability to manage deadlines, shifting priorities, and attention to detail critical.
- Strong written and verbal communication skills.
- Proficiency in MS Office; experience with Inter Action/CRM, Smart Sheet, Adobe Acrobat, Foundation, and iManage a plus.
- Occasional overtime required.
- High degree of contact within the Client Relations department.
- Moderate to high degree of interaction with firm lawyers.
- Moderate degree of contact with external Legal Publication Organizations.
- Must be able to work at a computer and telephone for extensive periods of time.
- Must be able to routinely lift and carry files and other items up to 10 pounds.
- Must be able to function in a standard office environment.
- Limited travel; position may require travel to Baker Botts offices a few times a year.
- Overtime will be required on occasion.
- Work is normally performed in a typical office environment, which includes the ability to visit virtually face‑to‑face with colleagues.
