Candidate Submission Guidance Position SummaryThe One Team Associate (Arrival Area) oversees daily operations of the office arrival desk and serves as the first point of contact for all guests and visitors. This role delivers a professional, welcoming, and seamless front-office experience while ensuring security protocols and office service standards are consistently met.
Key RelationshipsWorks closely with local office leadership, hospitality and facilities supervisors, and One Team members. Assists internal staff with hospitality-related requests and collaborates with teammates to ensure consistent delivery of office services.
Responsibilities- Professionally greet, direct, and assist all visitors and guests
- Serve as primary point of contact for the arrival area/desk
- Answer and manage incoming calls promptly and professionally
- Maintain arrival area, lobby, and surrounding spaces
- Coordinate guest lists and adhere to security protocols
- Track requests and workflows using internal systems (e.g., Service Desk)
- Support meeting room and workspace reservations
- Provide check-in, check-out, and reservation troubleshooting support
- Generate daily system reports as required
- Prepare meeting spaces (room configuration, supplies, A/V support)
- Accept, reconcile, and assist with catering deliveries
- Tear down meeting spaces and ensure proper cleanup and reset
- Maintain conference rooms and teaming spaces, restocking supplies as needed
- Collaborate with facilities to report and resolve space-related issues
- Cross-train and provide backup support to other One Team functions
- Assist with special projects and other duties as assigned
- Ability to lift up to 50 pounds as needed
- Minimum 2 years of experience in a corporate office environment
- Hospitality, reception, workplace services, or office services experience strongly preferred
- Prior reception or front-desk experience preferred
- Service-oriented mindset with a professional, welcoming presence
- Ability to remain poised in a fast-paced environment
- Strong verbal and written communication skills
- Ability to work independently and collaboratively
- Flexibility to adjust schedules and work overtime as needed
- Proficiency with Microsoft Office (Word, Outlook, Excel)
